The Program

This position provides administrative support across Taproot's youth and adult programs throughout Vancouver Island. Working collaboratively with leaders, managers, and frontline teams, the Administrative Assistant helps ensure efficient operations, effective communication, and high-quality administrative processes that support the delivery of person-centred services.
In Your Role You Will
- Coordinate daily administrative operations and office activities.
- Schedule meetings, prepare agendas, and record meeting minutes.
- Support reports, documentation, and project coordination.
- Maintain office supplies and assist staff with administrative needs.
- Coordinate onboarding, including interviews, reference checks, certifications, and documentation.
- Support employee file setup and HUB registration.
- Ensure caregiver records meet MCFD and CLBC requirements.
- Support managers with administrative tasks, including preparing funding proposals and obtaining contractor quotes for facility repairs, maintenance, and other duties as required.
The Position
This position supports programs across Vancouver Island and offers a hybrid work environment. Occasional travel to our Port Alberni office is required. As this role provides direct support to programs throughout the region, applicants must be based on Vancouver Island.
Scheduling
One (1) permanent, full-time position with a schedule of 40 hours per week:
- Monday through Friday, 0830-1630

As An Ideal Candidate You Possess
- Post-secondary education in Business Administration, Office Administration, Social Services, or a related field (preferred).
- Two or more years of administrative experience.
- Experience with onboarding, HR, or contract administration is an asset.
- Knowledge of MCFD processes and/or the social services sector is strongly preferred.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Excellent organization, communication, and attention to detail.
- Ability to handle confidential information with professionalism.
