Full job description
BST Vacations is looking for an organized, creative, energetic, and detail-oriented Administrative & Marketing Assistant to join our busy Peterborough office full-time.
This role is ideal for someone who thrives in a fast-paced environment, enjoys balancing administration with creativity, and loves being the person who helps keep everything running smoothly. As the first point of contact for clients and suppliers visiting or contacting our office, you will play a key role in both daily operations and the ongoing promotion of our travel experiences and brand.
This is a dynamic hybrid role that combines office coordination, customer service, social media content creation, marketing support, and team assistance.
Key Responsibilities
Administrative & Office Coordination
- Serve as the first point of contact for clients visiting or calling the Peterborough office
- Answer incoming calls and direct inquiries appropriately
- Manage incoming emails, website inquiries, and general office communications
- Coordinate day-to-day office activities and administrative tasks
- Maintain company contact databases and internal documents
- Manage office supplies, mail/courier shipments, brochures, and promotional materials
- Assist with onboarding and orientation of new employees
- Help manage phone systems, passwords, and office technology support
- Process payments, receipts, gift cards, and travel vouchers
- Assist with registrations and inquiries for Peterborough departures and group tours
- Maintain organized filing systems and booking documentation
- Support internal dashboards, Google Forms, registration sites, and reporting tools
- Assist with client and advisor review management
- Perform additional administrative duties as required
Marketing & Social Media Support
- Create engaging social media graphics and promotional assets using Canva
- Assist in planning and scheduling social media content across platforms
- Design flyers and promotional materials for tours, events, and campaigns
- Help maintain a consistent brand presence online and in print
- Support marketing initiatives, contests, campaigns, and promotions
- Assist with email marketing and website content updates
- Capture and organize content for social media storytelling and promotions
Qualifications & Skills
We are looking for someone who is:
- Highly organized and able to multitask in a busy environment
- Friendly, professional, and customer-service focused
- Creative with a strong eye for design and social media trends
- Comfortable working independently and taking initiative
- Adaptable and able to shift priorities quickly when needed
Preferred Experience
- Experience using Canva for graphic design and social media content creation
- Strong understanding of social media platforms including Facebook and Instagram
- Experience with Microsoft Office and Google Workspace (Excel, Word, Google Docs, Sheets, Forms, etc.)
- Administrative or office coordination experience
- Marketing, communications, or customer service experience considered an asset
- Travel industry experience is an asset but not required
- Past experience working in the back end of websites an asset (ours is Wordpress)
What This Role Looks Like
This is a very hands-on role where no two days are the same. One moment you may be welcoming clients into the office, coordinating registrations for a tour, or helping solve an urgent issue — and the next you may be designing social graphics for an upcoming campaign or creating promotional flyers for a travel event or group tour.
The ideal candidate is someone who enjoys being at the center of the action, keeping things organized, and helping support both the team and our clients.
