MSALABS is an experienced global provider of geochemical laboratory services to the exploration and mining industries in Canada, the USA and around the world. We have a rapidly growing network of laboratories in key mining regions around the world to limit lead times and transit costs and we employ the latest hi-tech analysis equipment.

We are seeking a highly organized and detail-oriented Purchasing & Administrative Assistant to join our team. In this position, you will play a crucial role in supporting our office operations and ensuring smooth day-to-day activities. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys providing exceptional customer service.

Responsibility:

  • Core administrative responsibilities including data entry, filing, photocopying, manage incoming and outgoing mail, and creating letters and memos.
  • Create purchase orders and place orders with suppliers.
  • Request quotes from suppliers.
  • Tracking delivery dates on orders.
  • Receive orders, organize, scan and file packing slips.
  • Match packing slips to approved purchase orders along with AP invoices.
  • Answer and direct incoming phone calls.
  • Greet and re-direct customers and couriers.
  • Ensure all guests sign-in, have a visitor pass, and are accompanied by a staff member.
  • Prepare, receive, and distribute mail/faxes.
  • Update and distribute in-house phone list as required.
  • Maintain appearance of reception, front lobby and boardroom area.
  • Maintain office supplies.
  • Maintain inventory list for office and laboratory supplies.
  • Maintain and create excel spreadsheets.
  • Support the logistics department when required.
  • Organizes freight quotes and shipments.
  • Coordinate site events when required.
  • Accounting admin support including accounts payable, and accounts receivable.
  • Prepare credit applications.
  • Book flights and accommodations
  • Participate, when requested in department and health and safety meetings.
  • Participate, when requested in internal and external audits.
  • Keeps work area clean, neat, and organized.
  • Other responsibilities as assigned.

Qualifications:

  • 1 year experience in Purchasing is required
  • Purchasing in Accpac and/or Dynamic 365 is an Asset
  • Proficient computer skills, including Microsoft Office Suite (Word, Excel, Outlook)
  • Strong attention to detail and excellent organizational skills
  • Ability to multitask and prioritize tasks effectively
  • Excellent written and verbal communication skills
  • Familiarity with phone systems and customer service principles
  • Data entry experience is required
  • Ability to speak French considered an asset
