COMPANY OVERVIEW:

We are a well-established Medical Assessment Centre specializing in services for Motor Vehicle Accident (MVA) victims. With over 10 years in business, we have built a strong reputation within the medical-legal community and continue to expand and grow.

Our professional team is dedicated to providing comprehensive evaluations and support to individuals navigating auto insurance claims.

Prime location — walking distance from Vaughan Metropolitan Centre & Vaughan Subway Station, making our office easily accessible by public transit.

We are seeking an experienced Medical-Legal Office Administrator to join our team and contribute to our mission of delivering exceptional care.

JOB RESPONSIBILITIES:

Medical & Legal Appointment Coordination

  • Schedule and manage assessments and treatment appointments
  • Coordinate multidisciplinary evaluations

Logistics Management

  • Arrange transportation and translation services for clients

Communication & Client Relations

  • Manage incoming emails and phone calls
  • Communicate professionally with clients, insurance adjusters, and law offices

Data & File Management

  • Accurate data entry using UNIVERSAL Scheduling Program and JANE App
  • Maintain organized, up-to-date electronic client files

Documentation & Insurance Processing

  • Prepare and submit CNRs
  • Complete and track OCF-18s and other SABS-related documentation
  • Process Extended Health Care (EHC) claims via Telus Health

Stakeholder Liaison

  • Communicate with insurers and law firms to maintain accurate records and file updates

Preferred: Working knowledge of SABS, HCAI and MVA procedures

REQUIRED QUALIFICATIONS:

  • Experience: Minimum 2 years in a medical assessment centre, rehabilitation clinic, or law firm managing medical-legal files
  • Education: College Diploma or University Degree
  • Communication: Strong verbal and written communication skills
  • Organization: Meticulous attention to detail and file accuracy
  • Technical Skills: Proficiency in MS Office and ability to quickly learn new systems
  • Interpersonal Skills: Professional, polished, and client-focused
