Overview
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth daily operations, providing excellent customer service, and supporting administrative functions within our office. The ideal candidate will have strong clerical skills, proficiency with office software, and a friendly demeanor to greet visitors and handle inquiries efficiently. This position offers an opportunity to develop your administrative expertise in a dynamic environment.

Responsibilities

  • Greet visitors and clients warmly at the front desk, providing exceptional customer service
  • Manage multi-line phone systems, directing calls appropriately and taking detailed messages
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as needed
  • Maintain organized filing systems both electronically and physically
  • Assist with appointment scheduling and calendar management for staff or practitioners
  • Handle incoming and outgoing correspondence, including emails and postal mail
  • Support bookkeeping activities such as invoicing, billing, and basic bookkeeping using QuickBooks
  • Proofread documents for accuracy and professionalism before distribution
  • Support administrative tasks including photocopying, scanning, and maintaining office supplies
  • Ensure the reception area remains tidy and welcoming at all times

Experience

  • 1-2 years Prior office experience preferred, especially in clerical or administrative roles
  • Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with multi-line phone systems and front desk operations is highly desirable
  • Knowledge of QuickBooks or bookkeeping or tax software is a plus
  • Strong organizational skills with attention to detail in data entry and proofreading tasks
  • Excellent phone etiquette and customer service skills necessary for positive client interactions
  • Previous experience in medical or dental office environments is advantageous but not mandatory
  • Ability to handle multiple tasks efficiently while maintaining professionalism in a fast-paced setting
