Job Description – Administrative Assistant

Progressive Real Estate was established in 2010 and has seen consistent and considerable growth. Progressive Real Estate has a career opportunity for an Administrative Assistant to join our team based in Winnipeg Manitoba.

We are seeking candidates with strong communication and coordination skills and 2+ years of relevant job experience. The administrative assistant’s role is one of true importance as the first point of contact for our clients. Specific duties include helping with the management of our properties and tenants, general administration tasks, answering phones and office organization.

o Address and manage tenant and property issues to successful resolution

o Administer rent renewals, rent increases, etc.

o Deal with The Residential Tenancies Branch and ensure guidelines are being followed

o Help create and administer marketing plans for vacant units and systems around tenant management

o Run tenant applications, check references, provide approvals and recommendations to the Director of Real Estate

o Adjust rent levels in Yardi and report to accounting department with monthly changes

o Manage access and security programs of buildings

o Assist with move in and outs of tenants

o Assist with amenity scheduling and coordination

o Conduct research tasks, maintain our website and various other online mediums with up-to-date information about our available properties

o Visit buildings to do walk-through and checks regularly

o Other duties as assigned

o Answer, screen, take/direct messages, give information to prospective tenants

o Forward/respond to voicemails, call back missed calls for available units

o Update contact lists across all platforms

o Take company meeting notes, edit, and send out to required personnel

o Set up accounts with needed suppliers

o Schedule meetings as required for other team members

o Office maintenance

o IT – deal with problems with tech company as needed

o Manage keys and lockboxes for the company

o Manage all electronic and physical storage of documents for the company

o Organize special events

o Other duties as assigned

o Proficient in Microsoft Office Suite (including Outlook and Excel)

o 2 years of relevant experience in property management or administration

Compensation and Expectations:

· Full-time hours: 40 per week

· Salary Range: $48,000 - $54,000 annually

· Vacation: 2 Working Weeks (10 business days)

· Sick Time: 6 Days

· Health Spending: $2500

Pay: $45,000.00-$54,000.00 per year
