Job Overview

We are seeking an energetic and detail-oriented Medical Receptionist/Administrator to join our healthcare team. This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations within a busy medical office. The ideal candidate will thrive in a fast-paced environment, demonstrate excellent communication skills, and possess a passion for providing outstanding patient service. Your proactive approach will help create a welcoming atmosphere for patients while efficiently managing appointments, records, and office workflows.

Duties

  • Greet patients warmly and provide professional, efficient front-line support to a diverse patient population, determining the purpose of visits and addressing inquiries with courtesy and discretion.
  • Manage patient check-in and check-out procedures, verify health cards and insurance information, and ensure patient demographics and contact details remain accurate and up to date.
  • Schedule, confirm, and reschedule appointments using PSS EMR, following physician guidelines, prioritization protocols, and coordinating appropriate follow-up visits.
  • Operate a multi-line phone system in a high-volume clinical environment, triaging incoming calls, directing patients appropriately, and taking accurate, detailed messages.
  • Utilize PSS EMR to manage appointments, respond to patient messages, update records, and communicate appointment and clinic information accurately.
  • Maintain and update electronic medical records with a high degree of accuracy while strictly adhering to patient confidentiality, privacy standards, and clinic policies.
  • Verify insurance information, process patient payments, and reconcile daily payments for non-insured services, including Travel Clinic services.
  • Manage clinic correspondence, including emails, faxes, and mail, ensuring timely and accurate communication between patients, physicians, and clinical staff.
  • Prepare patient charts and ensure all required documentation is complete and available prior to appointments, supporting clinical staff and efficient patient flow.
  • Perform administrative duties including filing, document organization, and record maintenance to support smooth day-to-day clinic operations.
  • Collaborate effectively with physicians and team members, rotating between reception and switchboard responsibilities based on workflow demands and clinic needs.

Skills

  • MOA Diploma is an asset
  • Proven experience as a medical receptionist in a healthcare setting with strong knowledge of medical office procedures
  • Proficiency in electronic health record (EHR) systems such as Telus PS Suite is highly desirable
  • Solid understanding of medical terminology to accurately communicate with patients and healthcare providers
  • Experience working with multi-line phone systems to handle high call volumes efficiently
  • Excellent organizational skills with the ability to multitask in a dynamic environment
  • Strong interpersonal skills to provide compassionate patient service and foster positive relationships
  • Ability to maintain confidentiality and adhere to HIPAA regulations at all times
