About the job

As the Surface Rights Notification Clerk, your typical day will be ensuring compliance with the Mining Act by identifying surface rights owners, conducting land title research, maintaining critical records, and providing information to stakeholders across Ontario. In this dynamic role, you will:

  • Research and verify land ownership information.
  • Administer surface rights notification processes.
  • Maintain and manage records and information systems.
  • Conduct land title investigations.
  • Respond to inquiries from clients, stakeholders, the public, and internal staff.
  • Provide client service and stakeholder support.

What you bring to the team



Communication and customer service skills:

  • Oral communication skills to explain and interpret legislation, policies, and procedures.
  • Ability to prepare, review, and maintain correspondence, records, and administrative documentation while ensuring accuracy, completeness, and compliance with established procedures.
  • Ability to provide professional, responsive client service to a diverse range of stakeholders.
  • Tact and diplomacy when responding to inquiries and resolving issues.

Administrative knowledge and skills:

  • Experience using databases, spreadsheets, electronic filing systems, email, and word processing applications to manage information and support business operations.
  • Demonstrated ability to maintain, track, verify, and retrieve records while ensuring data accuracy, integrity, and compliance.
  • Knowledge of records management, privacy, and information security practices, including handling sensitive information, maintaining confidential records, and applying appropriate retention and filing procedures.

Organization and attention to detail:

  • Ability to manage multiple priorities and meet strict timelines.
  • Accuracy and attention to detail when reviewing records and maintaining data integrity.
  • Ability to manage multiple tasks, maintain detailed documentation, prepare correspondence, and support the efficient delivery of program and operational services.

Research and analytical skills:

  • Demonstrated ability to research, review and assess complex records and documents, identify key information, and ensure accuracy and completeness.
  • Analytical and critical-thinking skills to identify issues and determine appropriate actions.
