About the Role

The Officer, Web and Email supports the execution and maintenance of the CHEO Foundation’s website and email marketing initiatives. This role ensures that web and email content is accurate, accessible, and visually engaging, contributing to an outstanding digital experience for donors and the community.

The Officer is responsible for day-to-day updates, campaign setup, and reporting for email and website channels, ensuring that all communications align with Foundation standards and support the organization’s brand and fundraising goals.

About You

You are a digitally savvy professional with strong experience managing websites and email campaigns in a complex, fast-paced environment. You are comfortable working independently, translating organizational priorities into clear, effective digital content, and continuously improving user experience through testing and data-informed decisions.

You bring a strong eye for detail and quality, balanced with the ability to plan, prioritize, and deliver work with minimal oversight. You are confident collaborating with cross-functional partners, advising on best practices, and ensuring digital channels are accurate, accessible, and aligned with brand standards. You are motivated by building well-functioning systems that support engagement, fundraising, and organizational impact.

Primary Responsibilities

Websites Content and Maintenance

  • Update and publish website content using approved templates, ensuring accuracy, accessibility (AODA compliance), and brand alignment.
  • Coordinate with Communications, Philanthropy, and Events teams to keep pages current and relevant.
  • Optimize images, text, and metadata for SEO and readability.
  • Monitor website functionality and flag technical issues for escalation to the Senior Officer or vendor partners.
  • Maintain and organize the website content calendar.

Emails

  • Build and schedule email campaigns using existing templates and guidelines (e.g., Mailchimp, Luminate, or similar).
  • Coordinate email distribution lists, segment audiences, and ensure data accuracy.
  • Test emails across devices and platforms to ensure consistent delivery and formatting.
  • Track performance metrics (open rates, click-throughs, conversions) and compile reports for review.
  • Ensure compliance with CASL (Canada’s Anti-Spam Legislation) and other relevant policies.

Digital Support and Collaboration

  • Work closely with the Senior Officer, Web & Email Content, to prioritize workload and deliverables.
  • Support cross-departmental digital initiatives by providing timely web and email updates.
  • Liaise with external vendors and IT partners for minor website fixes or technical needs.
  • Participate in content planning meetings and share insights from digital analytics when relevant.

Administration and Reporting

  • Maintain documentation of digital processes and assets.
  • Compile monthly performance reports for web and email activities using existing templates.
  • Contribute ideas to improve workflow efficiency and user experience.

Qualifications

  • Post-secondary education in communications, marketing, digital media, or a related field.
  • 2–5 years of experience in digital communications, preferably within a nonprofit or agency environment.
  • Experience with content management systems (WordPress, Drupal, or similar) and email marketing tools (Mailchimp, Luminate, or comparable).
  • Understanding of basic HTML, SEO best practices, and accessibility standards (AODA).
  • Strong attention to detail, organization, and ability to manage multiple deadlines.
  • Excellent communication and teamwork skills with a collaborative, solution-oriented mindset.
