The Macdonald Centre for Natural Medicine (MCNM) in downtown Courtenay is hiring an office assistant for Monday through Thursday.

MCNM is a well-established and reputable naturopathic medical clinic dedicated to providing holistic healthcare solutions to our valued patients. Our clinic is committed to excellence in patient care, and we are seeking a highly capable and compassionate receptionist to join our team. We offer a supportive and positive work environment with a long history of retaining and growing our staff members.

Job Description:

As our primary office assistant, you will play a pivotal role in ensuring the smooth operation of our clinic and providing exceptional customer service to our patients. Our office uses the JANE system, so experience in this program will be an asset.

Responsibilities:

  • Greet patients warmly, check them in for their appointments, and assist them in a caring and professional manner.
  • Efficiently answer incoming phone calls and emails, providing professional and friendly assistance to patients and addressing their inquiries.
  • Schedule appointments accurately and manage the clinic's appointment calendar effectively.
  • Reconcile daily financial transactions
  • Organize and maintain patient files, ensuring confidentiality and accuracy in filing, prepping, and storing physical and electronic records.
  • Prepare and mix herbal tinctures as per prescribed guidelines and ensure proper labelling and storage.
  • Process and fulfill mail orders promptly, ensuring accurate packaging and shipping.
  • Cultivate a positive and welcoming atmosphere, fostering a team-oriented environment with staff and tenants.
  • Utilize sales skills to engage potential patients, highlighting the benefits of naturopathic medicine and our services.
  • Demonstrate excellent attention to detail in managing various tasks simultaneously.
  • Uphold confidentiality and ensure compliance with privacy regulations.

Qualifications:

  • High school diploma or equivalent; additional certification in healthcare administration or related field is a plus.
  • Proven experience as a receptionist or in a similar role, preferably in a healthcare or wellness setting.
  • Compassion and patience when dealing with people experiencing challenges.
  • Excellent communication skills, both verbal and written, with a friendly and professional demeanour.
  • Strong organizational skills with a keen eye for detail and the ability to manage multiple tasks efficiently.
  • Proficiency in using computer systems, including scheduling software, email, and basic office applications.
  • Sales experience and the ability to effectively communicate the benefits of naturopathic medicine to potential patients.
  • Trustworthy and able to handle confidential information with discretion.
  • Strong work ethic, reliability, and the ability to make decisions in sensitive situations.
  • Ability to work independently while maintaining a positive attitude and team spirit.
  • Flexibility to work four days a week and take holidays when the clinic is closed.
  • Genuine interest in naturopathic medicine and a passion for promoting holistic health.
