About the Role:

We are seeking an organized, proactive, and student-focused Student Services Coordinator to support academic operations at our Vancouver campus. Reporting to the Campus Director, this role serves as a primary administrative resource and first point of contact for student inquiries. The Coordinator supports program administration, student records, academic scheduling, instructor compliance, accreditation documentation, and communication across departments.

The ideal candidate enjoys working with people, manages competing priorities effectively, and takes pride in keeping academic operations running smoothly while supporting a positive student experience.

What You Will Do:

Academic Administration & Compliance

  • Monitor program inboxes, respond to inquiries, and escalate matters to the Campus Director as needed.
  • Process withdrawals, leaves of absence, and other program-related documentation, notifying relevant departments.
  • Support instructor compliance, accreditation documentation, file audits, and academic reporting.

Student Services & Support

  • Serve as the first point of contact for student questions, concerns, and administrative needs.
  • Identify students who may need additional support and coordinate timely outreach and appropriate referrals.
  • Connect students with advising, counselling, accessibility, and career-support resources.
  • Help create a welcoming, inclusive, and supportive campus environment.

Communication & Academic Coordination

  • Prepare professional student communications regarding schedules, deadlines, events, expectations, and program updates.
  • Coordinate with faculty, the Registrar's Office, IT, and other departments on timetables, room bookings, instructor assignments, and academic activities.
  • Support orientations, workshops, student events, graduation ceremonies, and practicum coordination.
  • Maintain confidentiality when handling sensitive student and institutional information.

Systems, Assessments & Reporting

  • Use student information systems (SIS), learning management systems (LMS), and other academic platforms to maintain accurate records.
  • Review exam proctoring reports, flag concerns, and support exam scheduling, accommodations, and rescheduling in accordance with institutional policies.
  • Prepare reports, rosters, and checklists to support operational planning and academic integrity.
  • Identify opportunities to improve administrative processes, student communications, and service delivery.

Qualifications

  • Diploma or bachelor's degree in administration, education, or a related field, or an equivalent combination of education and experience.
  • 1–3 years of administrative coordination experience, preferably in post-secondary education or a private career college.
  • Experience with student information systems, learning management systems, or exam proctoring platforms is an asset.
  • Proficiency in Microsoft 365 and/or Google Workspace, with the ability to learn new systems.
  • Strong written and verbal communication, organization, and problem-solving skills.

What You Bring

You are approachable, detail-oriented, and committed to student success. You communicate professionally, manage competing priorities with confidence, and handle confidential information with discretion. You bring a calm, solutions-focused approach to challenges and enjoy collaborating with colleagues to create an efficient, supportive learning environment.

Working Conditions

  • Full-time, permanent position based on-site in Vancouver.
  • Monday to Friday, 9:00 a.m.–6:00 p.m., with occasional evening or weekend requirements.
  • Dynamic, hands-on campus environment.
  • Training provided.
