Job Overview

Integral Maintenance Systems Ltd. is seeking a highly organized, customer-focused Service Writer to join our growing team in Fort McKay Industrial Park. The Service Writer serves as the primary point of contact for customers, ensuring repair orders are accurately documented, work is efficiently coordinated between customers and technicians, and invoicing is completed promptly and accurately.

The successful candidate thrives in a fast-paced environment, has exceptional communication skills, and is committed to delivering outstanding customer service while supporting the operational success of our shop and mobile service teams.

Responsibilities

  • Greet customers in person, over the phone, and via email in a professional and friendly manner.
  • Create and manage work orders from initial customer request through completion.
  • Coordinate repairs and maintenance with technicians, service management, and customers.
  • Provide customers with repair updates, estimated completion times, and recommendations.
  • Prepare accurate repair estimates and obtain customer approval before work begins.
  • Ensure purchase orders (POs), work authorizations, and customer information are received before commencing work.
  • Track the status of open work orders and ensure timely completion.
  • Review technician labour, parts, and service documentation for accuracy before invoicing.
  • Prepare accurate invoices and submit completed billing to Accounts Receivable.
  • Process customer payments when required.
  • Maintain accurate customer, fleet, and equipment records within company software.
  • Investigate customer concerns and work closely with management to resolve issues professionally.
  • Maintain filing systems and electronic documentation.
  • Answer incoming phone calls and direct inquiries appropriately.
  • Monitor service schedules and assist with dispatching mobile service units when required.
  • Support daily administrative functions including scanning, filing, data entry, and document management.
  • Maintain confidentiality of customer and company information.
  • Perform additional administrative duties as assigned.

Required Qualifications

  • Minimum 2 years of Service Writer, Service Advisor, or administrative experience in a mechanical or industrial environment.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • High level of attention to detail and accuracy.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Experience preparing estimates, invoicing, billing, and tracking purchase orders.
  • Ability to prioritize multiple projects while meeting deadlines.
  • Valid Class 5 Driver's Licence.
  • Reliable transportation (public transportation is not available to our shop).

Preferred Qualifications

  • Previous experience in heavy-duty truck, heavy equipment, fleet maintenance, or diesel repair.
  • Experience with service management software (Fullbay experience is considered an asset).
  • Basic understanding of heavy-duty mechanical systems.
  • Experience coordinating mobile field service operations.

Pay: $30.00-$50.00 per hour
