Medical Office Assistant/Receptionist

General Purpose

The successful applicant would cheerfully attend to cosmetic and medical patients on the phone and in person. They would be involved in coordinating and organizing appointments and documentation to facilitate a smooth visit.

This is a full-time position ideally. Candidates looking a part-time position may be considered.

Main Job Tasks and Responsibilities

- Cheerfully greet patients

- Proficiency with computers essential (operating MedAccess desired)

- Knowledge of or willingness to learn about our cosmetic skincare product lines and procedures.

- Register patients according to established protocols

- Assist patients to complete all necessary forms and documentation including medical insurance

- Ensure patient information is accurate including billing details

- Inform patient of medical office procedures, products and policies

- Maintain and manage patient records

- Move patients through appointments as scheduled

- Answer and manage incoming calls and deal with inquiries

- Schedule patient appointments

- Collect payments

- Schedule hospital admissions, tests and outside appointments for patients

- Obtain external medical reports as required by medical professionals

- Respond and comply with requests for information

- Process incoming and outgoing mail

- Complete other clerical duties as assigned

- Maintain stock of forms and office supplies

- Ensure reception and clinic area is well maintained, neat and clean

- Chaperones medical exams/treatments

- Proficient in instrument sterilization (training will be provided)

- Safeguard patient privacy and confidentiality

- Willing to work a flexible schedule to accommodate patient and clinic needs

Education and Experience

- High school diploma

- Knowledge of medical terminology, procedures and diagnoses an asset

- Ideally knowledge of MedAccess and/or proficiency with using an electronic medical record

- Competence in general administrative and clerical duties

- Working knowledge of healthcare insurance preferred
