Job Description
At Elevate Dance Centre, our Company Program is our competitive dance program, bringing together dancers, families, faculty, and choreographers for a season of training, performances, competitions, community, and growth.
As our competitive program continues to grow, we're looking for an exceptional organizer and strong communicator to help coordinate the many moving pieces that create an outstanding experience for our dancers and families.
The Company Program Coordinator works closely with the Studio Director to help bring the vision of EDC's competitive program to life.
This is a hands-on leadership and coordination role with ownership over many of the systems, communications, experiences, events, and operational details that keep the program moving forward.
You'll work independently in many areas while having the leadership and support of the Studio Director for program direction, decision-making, family meetings, and more complex situations.
This role is ideal for someone who loves bringing people together, creating organized systems, managing details, and making sure people feel informed, prepared, connected, and supported.
Responsibilities
COMPETITIVE PROGRAM ADMINISTRATION & COMMUNICATION
- Coordinate dancer placement and onboarding administration.
- Organize and support family onboarding meetings.
- Prepare and manage contracts and required program documentation.
- Maintain program handbooks, calendars, online resources, and information hubs.
- Prepare and distribute regular communications and seasonal updates to families.
- Coordinate progress reports and other seasonal documentation.
- Maintain accurate program records, deadlines, and important dates.
- Ensure dancers and families have access to accurate, timely, and current information throughout the season.
COMPETITION & CONVENTION COORDINATION
- Complete competition and convention registrations and entries.
- Coordinate hotel blocks and travel information for out-of-town events.
- Prepare and distribute competition schedules and event information.
- Coordinate faculty schedules and operational requirements for competition weekends.
- Manage registration and administration for approved additional competition opportunities.
- Ensure competition music and required materials are organized, uploaded, and submitted by established deadlines.
- Maintain organized digital files and competition resources.
The Company Program Coordinator is not expected to attend all competitions. Competition weekends will primarily be staffed and supported by faculty.
CHOREOGRAPHER & FACULTY SUPPORT
- Coordinate choreographer meetings and regular check-ins.
- Support choreography timelines and important seasonal milestones.
- Track choreography progress and follow up on outstanding information and action items.
- Ensure music and practice videos are collected, organized, and shared with dancers and families.
- Coordinate meetings and initiatives for our dancer leadership program.
- Help ensure faculty and choreographers have the information and resources they need to successfully support their dancers.
- Serve as an organizational point of connection between the Studio Director, faculty, choreographers, dancers, and families.
PERFORMANCE & COMPETITION READINESS
- Coordinate EDC's performance readiness review process.
- Organize schedules, videos, feedback, and supporting materials.
- Collect and organize readiness information from faculty and choreographers.
- Coordinate follow-up communication with dancers and families.
- Support individual improvement plans when additional preparation or support is required.
- Track follow-up action items, resources, and important deadlines.
- Help monitor dancer and routine readiness as competition season approaches.
SOLO, DUET & SMALL GROUP COORDINATION
- Coordinate schedules and calendars for solo, duet, trio, and small group choreography.
- Prepare and distribute communications to participating dancers and families.
- Coordinate program fees and administrative information.
- Support choreography scheduling and logistics.
- Maintain accurate records, schedules, and shared resources.
- Keep dancers, families, and choreographers informed of expectations, upcoming dates, and deadlines.
EVENTS, CULTURE & COMMUNITY
At EDC, we believe the competitive dance experience is about much more than what happens on the competition stage. This role helps create the traditions, celebrations, and moments of connection that build a strong and positive team culture.
Responsibilities include:
- Coordinate team gifts, recognition, and spirit initiatives throughout the season.
- Help coordinate the annual season kick-off event.
- Support studio showcases and competitive program events.
- Coordinate the year-end banquet and annual awards.
- Coordinate long-term dancer recognition and milestone awards.
- Organize team headshots and photo projects.
- Coordinate community performance opportunities.
- Support dancer leadership and community-building initiatives.
- Help develop traditions and experiences that strengthen connection and belonging within the competitive program.

EXPERIENCE & SKILLS
Experience in administration, project coordination, event planning, customer service, dance education, youth programming, or a similar role is considered an asset.

POSITION REQUIREMENTS
This is a flexible, hybrid position averaging approximately 15–20 hours per week.
Administrative responsibilities may be completed remotely, with regular weekly check-ins and in-person studio hours scheduled based on the needs of the program.
Attendance is expected at key competitive program events throughout the season, including orientation and onboarding events, team-building activities, performance readiness reviews, studio showcases, community performances, and the year-end banquet.
The Company Program Coordinator is not expected to attend every competition. Competition weekends will primarily be staffed by faculty.
Hours may fluctuate throughout the season based on major events, registration deadlines, and the competitive dance calendar. Some evening and weekend availability will be required.
Pay: $27.00-$30.00 per hour
