Full job description
Nella Cutlery was established 70 years ago, and serves Toronto’s finest restaurants, businesses and food shops with food equipment, utensils and a knife sharpening service. Nella is currently looking for a Project Co-ordinator for their project business.
Position Overview: The Project Coordinator will play a crucial role within our organization, reporting directly to the Director of Contracts. This position requires excellent organizational skills, attention to detail, and the ability to effectively manage multiple projects simultaneously. The Project Coordinator will act as a liaison between internal departments and stakeholders, ensuring seamless coordination and communication throughout the project lifecycle. We are seeking a proactive and adaptable professional with a strong understanding of the building development/redevelopment industry and familiarity with construction methods and building codes.
Responsibilities:
1. Maintain comprehensive digital and paper files for each contract, ensuring accurate and up-to-date documentation.
2. Manage changes to project scope, project schedule, and project costs, coordinating with relevant stakeholders to ensure smooth execution.
3. Serve as the primary point of contact and liaison between the Director of Contracts, Project Managers, Accounting, shipping, and contractors, facilitating effective communication and collaboration.
4. Build and maintain strong relationships with clients and client stakeholders, ensuring their needs are understood and met throughout the project lifecycle.
5. Conduct detailed meetings with clients to gather ordering briefs and clarify specific project requirements.
6. Work towards achieving client budgetary objectives, performing financial analysis and making necessary adjustments to project constraints.
7. Assist the Director in the drafting and issuance of project proposals, RFPs, tenders, budgets, cash flows, and preliminary schedules.
8. Effectively and accurately communicate relevant project information to clients and the project team, ensuring clear and consistent updates.
9. Review field inspection reports from Consultants throughout the project, addressing any issues or concerns in a timely manner.
10. Maintain a Contract Execution Tracking Log, tracking key milestones and ensuring contractual obligations are met.
11. Collaborate with the Director to review Contractor quotations, ensuring fair and reasonable pricing recommendations for approval.
12. Track and manage contemplated change notices and change orders in the project database, maintaining accurate records of all project changes.
13. Proactively communicate ideas for improving company processes with a positive and constructive attitude, fostering a culture of continuous improvement.
14. Keep the Director and other relevant stakeholders informed about project status and address any issues that may impact client relations.
15. Demonstrate a strong knowledge of the building development/redevelopment industry and stay updated on construction methods and building codes.
16. Utilize effective communication skills, including verbal, written, and presentation skills, to convey information clearly and professionally.
17. Showcase the ability to work both independently and collaboratively in a team-based environment, fostering a cooperative work culture.
18. Exhibit a willingness to be flexible and adaptable to changing priorities, adjusting work plans as necessary to meet project demands.
19. Create and maintain sales orders, purchase quotations, and project records within SAP, ensuring accuracy and completeness of all project-related transactions.
20. Monitor SAP and manage project inventory, coordinating with warehouses, vendors, and internal departments to ensure equipment availability and timely delivery in accordance with project schedules.
21. Coordinate with Project Managers, Accounting, and other stakeholders to reconcile project accounts upon completion, ensuring all orders, invoices, credits, and project costs have been accurately accounted for and closed out.
22. Assist with project financial reporting by reviewing project balances, identifying discrepancies, and facilitating timely resolution of outstanding issues.
23. Support project closeout activities, including final documentation, account reconciliation, and reporting to ensure successful project completion.
24. Assist the Shipping Department by preparing and issuing pick lists, coordinating shipment schedules, and ensuring all required documentation is completed accurately and on time to support project delivery requirements.
25. Work closely with Shipping and Warehouse teams to monitor order readiness, prioritize project deliveries, and resolve any issues that may impact shipment timelines.
Qualifications:
1. University degree or College diploma in a related field.
2. Proficiency in SAP software for order entry, inventory management, procurement, project tracking, and management of multimillion-dollar projects.
3. Proficiency in CAD software, with experience in layout, POCs (Points of Contact), and elevations.
4. Strong proficiency in Excel and AutoQuotes, utilizing these tools for data analysis and project management.
5. Experience in preparing written specifications, ensuring accuracy and adherence to project requirements.
6. Excellent written and verbal communication skills, with the ability to effectively convey information to diverse audiences.
7. A team player with a strong willingness to learn and collaborate with colleagues.
8. Exceptional multitasking and organizational skills, enabling the management of multiple projects simultaneously.
