Full job description

We are excited to open a brand-new, modern dental clinic and are looking for an organized, motivated, and hands-on Office Manager to join our team. This is a unique opportunity to play a key role in building a positive patient experience from day one while helping establish efficient office systems and workflows.

As a startup practice, this position is a blend of office management, administration, and front desk responsibilities. The successful candidate will be comfortable wearing multiple hats, taking initiative, and adapting as the practice grows. You will be responsible for overseeing the daily administrative operations of the clinic while providing exceptional customer service to our patients.

Key Responsibilities:

  • Welcome patients and provide a warm, professional first impression.
  • Manage appointment scheduling, patient communications, and recall systems.
  • Answer phones, respond to emails, and coordinate patient inquiries.
  • Verify insurance coverage, process claims, and collect payments.
  • Manage patient records and maintain accurate documentation.
  • Support the dentist and clinical team with day-to-day administrative needs.
  • Order office and clinical supplies and manage inventory.
  • Assist with payroll, bookkeeping coordination, and vendor relationships as needed.
  • Develop and maintain office policies, procedures, and workflows.
  • Ensure compliance with privacy, safety, and regulatory requirements.
  • Help create a positive, collaborative, and patient-focused office culture.

What We're Looking For:

  • Previous experience in dental administration or dental office management.
  • Knowledge of dental insurance, treatment coordination, and scheduling.
  • Experience with Tracker is an asset.
  • Strong organizational and multitasking skills.
  • Excellent communication and customer service abilities.
  • Self-motivated, proactive, and comfortable working in a growing startup environment.
  • Positive attitude with a willingness to support the team wherever needed.
