Part-Time Patient Services Administrator

Location: Okotoks, Alberta
Job Type: Part-time
Hours: Approximately 20–25 hours per week, with the possibility of additional coverage
Pay: $18.00–$24.00 per hour, depending on experience

The Opportunity

An established multidisciplinary healthcare clinic in Okotoks is looking for a warm, capable, and dependable individual to join our administrative team.

This position is ideal for someone who genuinely enjoys helping people, takes pride in keeping things organized, and can confidently manage a busy front desk. You will be an important part of the patient experience and will help ensure the clinic runs smoothly throughout the day.

The successful candidate must be comfortable working independently, taking initiative, and recognizing what needs to be done without waiting for constant direction.

What You’ll Be Doing

  • Welcoming patients and creating a friendly, professional first impression
  • Answering phones and responding to patient questions
  • Booking, confirming, rescheduling, and managing appointments
  • Collecting payments and completing accurate end-of-day balancing
  • Processing direct billing and assisting with insurance-related questions
  • Maintaining accurate and confidential patient information
  • Communicating with healthcare providers, insurance companies, and referring offices
  • Keeping the reception and common areas clean, organized, and welcoming
  • Monitoring office and clinical supplies and advising management when items are needed
  • Completing patient follow-ups, recalls, and appointment reminders
  • Assisting practitioners with daily administrative needs
  • Helping with occasional clinic promotions, community outreach, or social media content
  • Completing opening and closing responsibilities as scheduled

Experience and Qualifications

  • Previous administrative, reception, medical office, dental office, or healthcare experience is required
  • Experience with appointment-booking or electronic medical record software is an asset
  • Direct billing and insurance experience is considered a strong asset
  • Strong computer, telephone, and written communication skills
  • Reliable transportation to and from the clinic
  • Availability during weekday clinic hours

Training will be provided; however, we are looking for someone who is confident, resourceful, and ready to take ownership of their responsibilities.
