Full job description

We are looking for a friendly, organized, and dependable Medical Office Assistant (MOA) to join a busy outpatient gastroenterology clinic in Vancouver. As the first point of contact for our patients, the ideal candidate is personable, detail-oriented, and enjoys helping create a smooth and welcoming experience for our patients. This is a full-time position with opportunities to grow alongside the practice.

About the position:

As the Medical Office Assistant, you will play an important role in ensuring the smooth day-to-day operation of the clinic and will work closely with the physician, patients, and other health care providers.

Responsibilities:

  • Greeting and receiving patients in a polite, professional, and friendly manner
  • Efficient scheduling of new referrals, follow-up appointments, endoscopies/procedures to maximize productivity
  • Coordinating laboratory testing, imaging, and other diagnostic investigations ordered by the physician
  • Receiving, organizing, and filing new referrals, reports, and other correspondence
  • Managing patient charts and information within the electronic medical record (EMR)
  • Answering and managing phone calls and emails from patients and other health care offices
  • Responding to common GI-related patient questions within the scope of the MOA role, including providing standardized instructions for colonoscopy and gastroscopy preparation, medication and fasting instructions as directed by the physician, and basic information regarding clinic procedures, while appropriately escalating medical questions or concerns to the physician
  • Assisting with general administrative duties and maintaining efficient day-to-day clinic operations
  • Maintaining an organized office and ensuring exam rooms are appropriately stocked
  • Preparing examination or procedure rooms and assisting with basic clinical workflow
  • Taking patient vital signs when needed

Qualifications

  • Minimum 1–3+ years of experience working as an MOA or unit clerk
  • Previous experience in a GI clinic, surgical clinic, specialist clinic, or other medical office setting is preferred
  • MOA certificate from an accredited educational institution is desirable but not mandatory
  • Fluent in spoken and written English
  • Spoken Farsi is an asset, but is not required
  • EMR experience
  • Familiarity with medical terminology
  • Friendly, professional, dependable, and detail-oriented
  • Strong communication, organizational, and interpersonal skills
  • Neat, tidy, and attentive to cleanliness
  • Ability to anticipate tasks, prioritize responsibilities, and follow through reliably in a fast-paced setting
  • Comfortable working both independently and collaboratively
  • Ability to connect compassionately to a diverse patient population
