About ApexCare Medical Clinic

ApexCare Medical Clinic is a newly opened, patient-focused healthcare clinic in Winnipeg, commencing operations in July 2026. Our clinic is built on a foundation of compassionate care, efficiency, and collaboration. Position Overview

We are looking for an experienced, friendly, organized, and dependable Medical Office Assistant (MOA) to join our team. As the first point of contact for our clinic, you will play an essential role in creating a positive patient experience through exceptional customer service while ensuring smooth day-to-day operations.

This role is ideal for someone who enjoys working with people, takes pride in their work, and can confidently manage a variety of administrative and clinical support tasks in a busy environment.

Key Responsibilities

Reception & Patient Experience
⁠ ⁠Greet and assist patients and visitors in a courteous and professional manner
⁠ ⁠Answer, screen, and direct phone calls, emails, and in-person inquiries
⁠ ⁠Maintain a clean, organized, and welcoming reception and waiting area
⁠ ⁠Take ownership of patient experience and manage patient interactions with tact, professionalism, and empathy

Scheduling & Coordination
⁠ ⁠Schedule, confirm, and coordinate patient appointments, referrals, and procedures
⁠ ⁠Manage physicians’ / provider calendars and support efficient patient flow
⁠ ⁠Follow up with patients regarding appointments, tests, and documentation

Medical Administration
⁠ ⁠Validate health cards and ensure accurate patient information
⁠ ⁠Maintain and update electronic medical records (EMR), including patient demographics, clinical notes, and test results
⁠ ⁠Process medical billing, including uninsured services and forms
⁠ ⁠Prepare, scan, file, and manage medical documents and correspondence
⁠ ⁠Coordinate referrals, lab work, and specialist bookings

Clinical Support
⁠ ⁠Prepare patients for examinations
⁠ ⁠Take basic vitals (e.g., height, weight, blood pressure)
⁠ ⁠Perform ECGs (EKGs) where required
⁠ ⁠Assist physicians during examinations as needed
⁠ ⁠Ensure exam rooms are cleaned, sanitized, and fully stocked

Office Operations
⁠ ⁠Maintain filing systems and administrative workflows
⁠ ⁠Order supplies and monitor inventory levels
⁠ ⁠Support the development and improvement of clinic procedures
⁠ ⁠Ensure compliance with Personal Health Information Act (PHIA) standards
⁠ ⁠Provide support and guidance to new administrative staff when needed

Other assigned duties necessary for supporting smooth clinic operations and workflow

Qualifications & Requirements
⁠Minimum 2 years of experience in the same or similar role in a medical office or clinic setting
⁠ ⁠Medical Office Assistant (MOA) certificate preferred
⁠ ⁠Experience with Accuro EMR (strongly preferred)
⁠ ⁠Proficiency in Microsoft Office and Windows-based systems
⁠⁠Knowledge of medical terminology and billing processes
⁠ ⁠Strong organizational, multitasking, and time management skills
⁠ Excellent communication and customer service abilities
⁠ ⁠Ability to work independently and collaboratively in a fast-paced environment
⁠ ⁠High level of professionalism, attention to detail, and confidentiality
⁠ ⁠Comfortable working with diverse patient populations

Work Schedule
⁠ ⁠Full-time (40 hours per week)
⁠ ⁠Monday to Friday (some Saturdays may be required)

Compensation & Benefits
⁠ ⁠$17.00 – $22.00 per hour (based on experience)
⁠ ⁠Free on-site parking
⁠ ⁠Insurance benefits available after successful completion of 6 months probation period.
