Oral Surgery Office Administrative Assistant

Greenway Surgical – Kerrisdale, Vancouver, BC

Position Type: Full-time (4–5 days per week) | Fixed-term contract (approximately 12–18 months)

Pay: CA$25.00 – CA$35.00 per hour, commensurate with experience

Greenway Surgical is a boutique Oral and Maxillofacial Surgery specialty office located in the heart of Kerrisdale. Our state-of-the-art practice provides the full spectrum of ambulatory oral surgery services — from extractions to complex reconstructive procedures — in a modern, spa-like environment.

About the Role

We are seeking an Administrative Assistant to cover a maternity leave on our dedicated surgical team. This is a fixed-term contract of approximately 12–18 months and represents an excellent opportunity to gain specialized oral surgery experience in a high-caliber private practice. Depending on practice needs, there is potential for the role to become permanent.

The ideal candidate is organized, personable, and motivated to learn — someone who thrives in a dynamic environment and takes pride in delivering attentive, efficient service to patients and colleagues alike.

This position involves front-desk administration, patient coordination, scheduling, and assisting with the day-to-day operations of a busy surgical office.

Key Responsibilities

  • Greet and check-in patients, ensuring a warm and professional first impression.
  • Manage phone calls, emails, and patient inquiries efficiently and courteously.
  • Coordinate appointments, surgical bookings, and follow-up visits.
  • Maintain accurate patient records and handle confidential information with care.
  • Support the surgical team with administrative tasks as needed.
  • Assist with billing, insurance claims, and documentation.
  • Ensure the office operates smoothly and patients feel cared for throughout their visit.

About You

  • Prior dental or oral surgery office experience is required.
  • Comfortable with dental practice management software (e.g., Open Dental); able to learn new systems quickly.
  • Strong computer and data entry skills.
  • Professional, compassionate, and service-oriented personality.
  • Excellent communication and interpersonal skills.
  • Enjoy working in a small, collaborative team environment.
  • Able to stay organized and calm in a fast-paced clinical setting.
  • Adaptable, eager to learn, and receptive to feedback.
  • Genuinely interested in medical and surgical care, with a desire to understand oral and maxillofacial procedures.
