POSITION OVERVIEW

As the Medical Office Assistant, you are responsible for both administrative and clinical responsibilities to ensure high-quality patient care and smooth day-to-day operations. In our team-based collaborative care model, you will greet and register patients, manage appointment scheduling, maintain electronic medical records (AVA EMR), and handle billing and insurance documentation in accordance with Alberta Health guidelines. This role also includes preparing medical correspondence, coordinating referrals, and assisting with basic clinical tasks such as taking vital signs and preparing examination rooms.

You will bring a strong skillset around the essential qualities of communication, attention to detail, and a commitment to patient confidentiality with your friendly and welcoming style. You will work closely in a team-based care model, along side physicians, nurse practitioners, nurses (RN/LPN), and other healthcare professionals to deliver compassionate, kind, respectful and efficient services in a fast-paced environment.

  • Wage: $20.00 - $22.00 per hour

KEY RESPONSIBILITIES:

  • Client & Program Support:Provide courteous and respectful reception to patients and visitors, offering clear directions and assistance to ensure a welcoming and supportive clinic environment.
  • Clinical & Patient Care: Support patient care by preparing individuals for examinations and procedures, assisting with mobility and dressing, and performing routine measurements and specimen collection. Aid physicians during medical procedures, maintain cleanliness and safety of equipment and rooms, monitor supplies and expiry dates, and ensure adherence to emergency protocols. Communicate effectively to address patient concerns, provide emotional support, and promote positive health outcomes.
  • Coordination & Scheduling: Manage patient flow and continuity of care by booking appointments, coordinating referrals, and completing necessary forms. Support clinic operations by ensuring the timely ordering and restocking of medical and office supplies.
  • Documentation & EMR:Accurately document patient interactions and clinical information in the electronic medical record (AVA), including visit reasons, lab requisitions, and diagnostic orders. Retrieve and organize test results, communicate appointment details, and support patient education on clinic protocols. Ensure clear, timely communication with team members and prioritize urgent messages appropriately.
  • Professional Responsibilities and Quality & Safety: Adhere to and contribute to the development of specific policies, procedures, and standards. Participate in quality improvement initiatives and research to enhance patient care and clinic operations.

  • Detail Oriented: You are skilled at maintaining accurate medical records and continuity of care. You verify information before entering it and follow standardized documentation practices.
  • Flexible & Adaptable: You understand that the healthcare environment is fast-paced, unpredictable and patient-driven. Daily priorities can change quickly and you would need to respond effectively while maintaining professionalism and care quality.

WHAT YOU BRING TO THE TABLE:

  • Education: Medical Office Assistant Certificate program.
  • Experience: Minimum two (2) years previous experience including patient care, maintenance of instruments, appointment bookings and reception in a physician’s office or medical setting. Working knowledge of Electronic Medical Record (EMR) and Medical Terminology. BLS (Level C). Equivalent education and experience may be considered.
  • Skills: Adept in using fax and multi-line and internet-based phones. Skilled at using vital signs monitor, weight scale, thermometer, varied medical/surgical equipment requiring chemical disinfection. Cross-functional collaboration, Outstanding organizational skills and problem-solving abilities; Exceptional Interpersonal and Customer service skills, strong verbal/written communication skills and tact. Strong Computer and Microsoft Office skills.
