Wise Psychotherapy Clinic is a growing private practice dedicated to providing compassionate, culturally responsive, and evidence-based mental health care. We work with children, adolescents, adults, couples, and neurodiverse individuals, striving to create an environment where both clients and clinicians feel supported.

We are looking for a motivated and organized Volunteer Administrative Assistant who is interested in gaining experience in the mental health field while contributing to a collaborative and supportive team.

Position Overview

This volunteer position is ideal for students or recent graduates interested in psychology, counselling, social work, healthcare administration, communications, or business administration. You will gain hands-on experience supporting the daily operations of a private psychotherapy clinic while developing professional administrative and organizational skills.

Responsibilities

Responsibilities may include:

• Managing the clinic inbox and responding to general administrative inquiries
• Scheduling, rescheduling, and confirming client appointments
• Assisting with day-to-day clinic operations and administrative tasks
• Following up with clinicians regarding outstanding documentation and ensuring clinical notes are completed on time
• Assisting with clinician onboarding and maintaining administrative records
• Supporting the creation of social media content and marketing initiatives
• Assisting with website updates and promotional materials as needed
• Helping organize internal documents, forms, and workflows
• Participating in team meetings and contributing ideas to improve clinic operations
• Completing other administrative projects as assigned

Qualifications

We're looking for someone who is:

• Highly organized and detail-oriented
• Professional, reliable, and able to maintain confidentiality
• Comfortable communicating through email and phone
• Strong written and verbal communication skills
• Able to work independently and manage multiple tasks
• Proficient with Microsoft Office or Google Workspace
• Comfortable learning new software and technology
• Interest in mental health, psychology, counselling, healthcare, or social media is considered an asset
• Experience with Canva, JaneApp, or social media platforms is an asset but not required

Time Commitment
