Medical Aesthetic Front of House & Patient Experience Coordinator

Arbutus Laser Centre | Vancouver, BC

Arbutus Laser Centre is an established medical aesthetic and cosmetic clinic in Vancouver specializing in injectables, laser and energy-based treatments, skin rejuvenation, and medical-grade skincare.

We are looking for a warm, personable, highly organized Front of House & Patient Experience Coordinator to join our team.

This role is ideal for someone who genuinely loves working with people and building relationships, while also being an excellent administrator who can multitask, stay organized, and keep a busy clinic running efficiently.

The Role

You will be one of the first points of contact for our patients and an important part of their overall patient journey, from their first phone call and consultation through treatment and ongoing follow-up.

Responsibilities include:

  • Welcoming patients and creating a warm, professional experience
  • Answering phones, emails, and patient inquiries
  • Scheduling and coordinating consultations, treatments, and follow-ups
  • Managing patient check-in, checkout, payments, and treatment estimates
  • Maintaining accurate patient records, forms, and documentation
  • Following up with patients and helping maintain long-term relationships
  • Coordinating with physicians, nurses, consultants, and treatment providers
  • Keeping schedules organized and the daily clinic flow running efficiently
  • Learning our aesthetic treatments and services to confidently answer common questions
  • Assisting with general administrative responsibilities
  • Identifying problems, taking initiative, and following through

Experience in medical aesthetics, cosmetic medicine, medical or dental reception, healthcare administration, skincare, spa/wellness, luxury hospitality, or high-level customer service is an asset.

Previous medical aesthetic experience is helpful but not essential. We are happy to train the right person.
