About the Role

As a Medical Office Assistant, you will be one of the first points of contact for our patients and an essential part of our daily clinic operations.

You will provide administrative and basic clinical support to physicians and healthcare providers while ensuring patients receive a welcoming, professional, and efficient experience.

This role requires excellent communication skills, strong attention to detail, the ability to manage competing priorities, and the ability to remain calm and professional in a busy medical environment.

Key Responsibilities

  • Welcome patients with professionalism, warmth, and excellent customer service
  • Answer and manage incoming telephone calls efficiently and professionally
  • Schedule, confirm, and coordinate patient appointments
  • Register patients and verify health card information
  • Maintain accurate electronic medical records (EMR)
  • Process referrals, requisitions, forms, and incoming correspondence
  • Support physicians and nursing staff with administrative duties
  • Perform basic clinical tasks, including:
  • Measuring blood pressure, height, weight, and temperature
  • Documenting clinical information accurately in the EMR
  • Process uninsured service payments and assist with billing inquiries
  • Maintain strict patient confidentiality in accordance with PHIPA requirements
  • Maintain an organized, clean, and efficient clinic environment
  • Assist team members and contribute to smooth daily clinic operations

Minimum Applicant Requirements

To ensure applicants have the qualifications required to succeed in this role, only candidates who meet the following minimum requirements will be considered:

  • Legally authorized to work in Canada (sponsorship or immigration assistance is NOT available)
  • Completion of a recognized Medical Office Administration program or equivalent healthcare administrative training
  • Minimum one year of recent experience working in a medical clinic or family practice setting
  • Experience working with an Electronic Medical Record (EMR) system
