About Us:

Manor Clinic is a mental health practice dedicated to providing compassionate care through a team of psychologists, psychiatrists, and social workers (mental health therapists). We are seeking an energetic and detail-oriented individual to join our administrative team and help support our growing practice.

Key Responsibilities:

  • Provide administrative support to healthcare professionals within the clinic.
  • Schedule and coordinate appointments for patients.
  • Make appointment reminder phone calls.
  • Greet and check in patients as they arrive.
  • Assist patients with initial paperwork and registration.
  • Arrange and book internal and external referrals.
  • Contact patients to relay information from healthcare professionals.
  • Answer patient queries and ensure high-quality customer service.
  • Perform general office administration tasks such as sorting mail and faxing documents.
  • Process patient payments and issue invoices.
  • Liaise with insurance companies regarding psychology payments.
  • Maintain patient privacy and confidentiality at all times.
  • Manage clinic flow and ensure the patient area and offices remain organized and clean.
  • Update and maintain patient health records accurately.
  • Work closely with the clinic’s admin manager to understand and address clinic priorities.

Requirements and Skills:

  • Proven experience as a medical administrative assistant.
  • Hands-on experience with electronic medical records (EMR); familiarity with Accuro EMR is an asset.
  • Proficiency in Microsoft Word, Outlook, Gmail, Google Meet, and Zoom.
  • Fluent English communication skills, both written and verbal.
  • Professional, empathetic attitude with the ability to support individuals with mental health and developmental disorders.
  • Strong knowledge of healthcare operations and insurance processes.
  • Familiarity with medical and insurance regulations.
  • Excellent organizational and multitasking abilities.
  • Strong customer service orientation and communication skills.
  • High school diploma required; certification in medical administration is a plus.
