Full job description

Barry Cullen Chevrolet Cadillac is in search of a full time Service Department Receptionist. The successful candidate will be the welcoming face and voice of our dealership. First impressions are a driving force in our business and therefore, your demeanor, knowledge, and helpfulness are extremely influential when representing our company.

The Service Department Receptionist is responsible for managing long-term client loyalty to the dealership. This role supports our service department by answering customer inquiries, scheduling service appointments, processing repair orders, and coordinating with vehicle deliveries. Additionally, this role helps support with invoicing and payment processing. Cross training and future career advancement opportunities are available.

This is a full time position with a regular schedule of Monday to Friday, 8:30am to 5:30pm with some Saturday shifts required based on seasonality.

Key responsibilities include:

  • Greet and welcome visitors with a positive and helpful attitude.
  • Provide visitors with an exceptional customer experience by greeting each guest and guiding them to the right person within the dealership.
  • Ensure visitors are comfortable and attended to.
  • Responsible for a variety of administrative tasks, including completing, copying and scanning documents.
  • Money handling, receipting and tracking
  • Maintain tidiness of workspace and common areas.
  • Monitor inventory and order office supplies.
  • Answer, forward and screen phone calls in a professional manner.
  • Receive, sort and distribute mail and courier packages.
  • Other duties as required.

Your Capabilities

  • Completion of a high school diploma or equivalent is required
  • Two + years Reception experience preferred
  • Experience in the hospitality industry is considered an asset.
  • Conscientious, thorough, accurate, and reliable when performing and completing job tasks.
  • Excellent written and verbal communication skills.
  • Ability to communicate information accurately, clearly, and as intended.
  • Accurate and efficient typing skills.
  • Strong organizational skills and attention to detail.
  • Proven ability to multi-task in a high-volume, fast-paced working environment, frequently under urgent deadlines.
  • Excellent skills in Word, Excel and PowerPoint. Highly skilled in standard office software (MS Office, SharePoint, etc.) and able to quickly adapt to new technologies deployed by the department and across the company.
  • Phenomenal interpersonal and verbal and written communication skills.
  • Sound, practical business judgment, and a problem-solving, client focused, results oriented approach.
  • Excellent document creation, reviewing and proofreading skills with a high level of proficiency related to business correspondence and communications.
  • Process-oriented; superior attention to detail and accuracy.
  • Results-driven and career focused individual with an entrepreneurial spirit and a strong desire to be successful.
