Full job description

We are looking for an energetic and detail-oriented individual to join our dynamic ophthalmology clinic. As a growing, full-scope ophthalmology clinic, we are committed to providing exceptional eye care through advanced technology, clinical expertise, and a patient-centred approach. Our collaborative team provides comprehensive medical and surgical eye care while creating a positive experience for every patient.

This position is ideal for someone who thrives in a fast-paced medical environment, enjoys working with patients, and takes pride in providing excellent administrative support to both patients and physicians.

Key Duties:

  • Greeting patients in person, over the phone, and via email in a professional and welcoming manner
  • Booking and coordinating patient appointments while supporting efficient clinic flow
  • Managing patient check-in and check-out processes
  • Maintaining and updating accurate patient records using an EMR (Plexia) system
  • Collecting and verifying patient information, including medical history and personal details
  • Answering phone calls, responding to patient inquiries, and assisting with office communications
  • Collecting payments, and processing patient transactions
  • Preparing and organizing patient charts and documentation
  • Coordinating with physicians and clinical staff to support seamless patient care
  • Tracking reports, referrals, and follow-up appointments
  • Performing general office duties, including scanning, faxing, and maintaining an organized workspace
  • Supporting the development and improvement of clinic systems and processes
  • Assisting physicians and team members with daily administrative requirements

Qualifications:

  • Previous medical office experience required; ophthalmology experience is an asset
  • Strong organizational skills with excellent attention to detail
  • Ability to multitask and prioritize in a busy clinical environment
  • Professional and compassionate communication style
  • Proficient in spoken and written English
  • Experience with EMR systems (Plexia experience is an asset)
  • Knowledge of medical terminology (ophthalmic terminology is an asset)
  • Ability to work collaboratively with physicians and colleagues

Ophthalmic Assistant Experience (an asset, training provided for the right candidate):

  • Visual Field Testing
  • OCT Imaging
  • Other diagnostic testing as required
