Full job description

Position Responsibilities

  • Welcome residents, visitors, and guests, and provide exceptional customer service.
  • Answer phones, respond to inquiries, and direct calls appropriately.
  • Provide information about community services, programs, and amenities.
  • Conduct tours for prospective residents and families.
  • Prepare and distribute resident communications, including newsletters, notices, activity calendars, and meal menus.
  • Complete suite checks and collect mail for residents who are away.
  • Assist residents with transportation to meals, programs, appointments, and community services.
  • Support meal attendance monitoring as needed.
  • Coordinate staff training and education programs, including mandatory certifications and compliance tracking.
  • Maintain resident records and data entry in Yardi.
  • Assist with new resident admissions, including preparing charts and resident profiles.
  • Coordinate ordering of medical supplies and resident care items.
  • Support quality assurance activities, including audits and inspections.
  • Monitor and record required equipment and medication fridge temperatures.
  • Coordinate move-ins and move-outs, including suite inspections.
  • Assess suite condition and communicate maintenance or cleaning requirements.
  • Schedule elevator reservations and move-related logistics.
  • Manage keys, access fobs, and secure master keys.
  • Arrange cleaning and preparation of vacant suites and guest suites.
  • Assist with recruitment activities, including reference checks and interviews.
  • Support onboarding and orientation of new employees.
  • Maintain employee records and files.
  • Help coordinate staffing schedules, vacation requests, and shift replacements.
  • Enter employee hours and other required payroll information.
  • Record private-pay resident services.
  • Take meeting minutes and prepare reports as needed.
  • Manage office supply inventory and ordering.
  • Perform other related duties as assigned.

Qualifications

  • Previous experience in administration, reception, customer service, healthcare, or senior living environments is an asset.
  • Strong organizational, communication, and multitasking skills.
  • Proficiency with Microsoft Office and data-entry systems.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Compassionate, customer-focused, and committed to providing excellent service to residents and families.
  • Demonstrated skills in communication, teamwork, organization, and customer service, with a high attention to detail and thoroughness and a demonstrated knowledge and commitment to person-centered care
  • Awareness of accident and injury prevention, hazard identification and control; adherence to safe work practices and procedures, and the ability to problem solve through critical thinking and self-education

Other Bona-Fide Occupational Requirements

  • Physically and mentally fit to perform the duties of the position (may be required to lift, move, push, or pull objects weighing up to 75 pounds)
  • Clear police information check, with the vulnerable sector, dated within the last 6 months
