Overview

Join our dynamic healthcare team as an Administrator/Intake Coordinator, where your energetic and detail-oriented approach will be vital in creating a seamless patient experience from the moment they reach out. In this role, you will serve as the first point of contact, managing patient intake, scheduling, and administrative tasks with enthusiasm and precision. Your proactive attitude will ensure efficient office operations while supporting clinicians and patients alike. Responsibilities

  • Greet all clients warmly, establishing a positive first impression for the practice.
  • Manage multi-line phone systems to answer inquiries, schedule appointments, and direct calls efficiently.
  • Collect and verify client information ensuring accuracy and completeness.
  • Coordinate client intake processes, including completing forms, verifying insurance details, and explaining procedures clearly.
  • Maintain organized office workflows by handling administrative tasks such as filing, data entry, and appointment scheduling.
  • Support clinical staff by being available for scheduling and assigning clients to match with the staff expertise and ensuring all necessary documentation is ready for appointments.
  • Assist with billing and insurance verification processes to streamline patient accounts and reduce delays.
  • Available for weekly meetings with Clinical Director.

Qualifications

  • Previous experience working in a dental or medical office environment is highly preferred.
  • Familiarity with electronic medical records systems but will train on the job.
  • Knowledge of medical and menta health terminology enhances communication with healthcare providers and clients.
  • Proven office experience with front desk responsibilities, including multi-line phone systems and appointment scheduling.
  • Strong organizational skills with attention to detail to ensure accurate recordkeeping and data entry.
  • Excellent communication skills to interact professionally with patients, staff, and insurance providers.
  • Ability to handle fast-paced environments while maintaining a positive attitude and professionalism.
