Job Summary

We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. The ideal candidate will have strong clerical and customer service skills, proficiency in various office software, and the ability to manage multiple tasks efficiently. This role involves providing essential administrative support, ensuring smooth daily operations, and maintaining professional communication with clients and team members. Experience in medical or dental office settings is a plus, but not required. The position offers an opportunity to work in a dynamic environment where organizational skills and attention to detail are highly valued.

Responsibilities

  • Manage front desk duties, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
  • Perform data entry and maintain accurate records using Microsoft Office. Handle filing, document proofreading, and general administrative tasks to support office efficiency
  • Assist with appointment scheduling, calendar management, and customer support inquiries
  • Provide clerical support such as photocopying, scanning, and preparing correspondence
  • Support bookkeeping activities including basic invoicing and record keeping for financial transactions
  • Maintain organization of office supplies and ensure the workspace is tidy and functional
  • Deliver excellent phone etiquette while managing inquiries from clients or patients in a courteous manner

Qualifications

  • Proven experience in an administrative or clerical role
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and QuickBooks
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Exceptional typing speed and accuracy; attention to detail for proofreading documents
  • Customer service experience with professional communication skills both over the phone and in person
  • Familiarity with multi-line phone systems, filing systems, and data entry processes
  • Ability to handle confidential information discreetly and maintain professionalism at all times
  • Previous experience with bookkeeping or medical/dental office procedures is advantageous but not mandatory
