Job Overview

We are seeking a dynamic and detail-oriented Medical Office Assistant to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and visitors, ensuring a smooth and welcoming experience. Your expertise will help facilitate efficient office operations, manage patient records, and support clinical staff with administrative tasks. Responsibilities

  • Greet patients and visitors warmly, providing excellent front desk service and guiding them through check-in procedures
  • Manage multi-line phone systems, scheduling appointments, and responding to patient inquiries with professionalism and clarity
  • Maintain accurate electronic medical records using systems such as Med Access, ensuring confidentiality and compliance with privacy regulations
  • Assist with insurance verification, billing processes, and collection of patient payments as needed
  • Coordinate communication between patients, healthcare providers, and external labs or pharmacies to facilitate timely care
  • Support clinical staff by preparing exam rooms, managing supplies, and handling administrative documentation
  • Handle administrative duties including data entry, filing, faxing, scanning documents, and managing office correspondence

Requirements

  • Proven experience as a Medical Office Assistant or in a similar healthcare administrative role
  • Strong knowledge of medical terminology and familiarity with electronic medical records systems such as Med Access
  • Previous medical office experience is highly desirable
  • Excellent organizational skills with the ability to multitask efficiently in a busy environment
  • Proficiency in office equipment including multi-line phone systems, computers, and office software
  • Exceptional communication skills to interact effectively with patients, staff, and external partners
  • Ability to maintain confidentiality while managing sensitive patient information
