Front Desk Receptionist – Part-Time

About Sage Sport Institute

Sage Sport Institute is a multidisciplinary sports medicine clinic in Kamloops offering physiotherapy, massage therapy, athletic therapy, kinesiology, and orthopaedic surgery consultations.

We are a busy, team-oriented clinic focused on providing excellent care and a professional, welcoming experience for every patient who walks through our doors.

The Position

We are looking for a dependable, organized, and friendly Part-Time Front Desk Receptionist to join our administrative team for up to 20 hours per week.

Previous experience using Jane App or working in a physiotherapy, rehabilitation, or similar healthcare clinic is strongly preferred. We are especially interested in applicants who are already comfortable working in a busy clinic environment and understand appointment scheduling, patient communication, payments, and insurance billing.

As one of the first points of contact for our patients, you will play an important role in keeping the clinic running smoothly while providing professional and welcoming customer service.

Key Responsibilities

• Booking, changing, and managing patient appointments using Jane App
• Greeting and arriving patients in a friendly and professional manner
• Answering incoming phone calls and directing inquiries appropriately
• Monitoring and responding to the clinic's reception email
• Processing patient payments and clinic product sales
• Completing direct billing to private insurance for physiotherapy and massage therapy services
• Scanning, uploading, and managing patient documentation and consent forms
• Assisting practitioners and the administrative team with day-to-day clinic operations
• Maintaining patient privacy and confidentiality at all times
• Helping maintain a clean and organized clinic environment, including laundry and light housekeeping duties

What We're Looking For

Preferred:

• Previous experience with Jane App
• Previous reception or administrative experience in a physiotherapy, rehabilitation, massage therapy, medical, or other healthcare clinic
• Experience with private insurance/direct billing

• Strong organizational skills and excellent attention to detail
• Confident verbal and written communication
• Ability to multitask and prioritize in a busy environment
• Comfortable learning and working with computer-based systems
• Dependable and punctual
• Friendly, professional, and patient-focused
• Able to work both independently and as part of a team

Schedule

• Part-time, up to 20 hours per week
• Primarily weekday shifts
• Shifts may include mornings, afternoons, or evenings
• Occasional weekend availability may be required
• Approximately 4-hour shifts depending on clinic needs
