Responsibilities

  • Manage front desk duties, including greeting visitors, answering multi-line phone systems, and providing excellent customer service.
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks to maintain up-to-date records.
  • Handle clerical responsibilities such as filing, proofreading documents, and organizing office supplies to ensure a tidy and efficient workspace.
  • Support bookkeeping activities by processing invoices, tracking expenses, and maintaining financial records with precision.
  • Assist with appointment scheduling, calendar management, and coordinating meetings for staff members.
  • Provide customer support by responding promptly to inquiries via phone or email while practicing professional phone etiquette.
  • Maintain confidentiality of sensitive information and ensure all administrative procedures adhere to company policies.

Requirements

  • Proven office experience with strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
  • Experience with QuickBooks or similar accounting software is highly desirable.
  • Excellent typing speed, data entry skills, and ability to proofread documents accurately.
  • Strong communication skills with a friendly demeanor suitable for front desk responsibilities and customer interactions.
  • Familiarity with multi-line phone systems and phone etiquette standards.
  • Previous clerical or administrative experience in a medical or dental office setting is a plus.
  • Knowledge of filing systems, medical office procedures, bookkeeping practices, and customer service best practices is preferred.
