Full job description

We are currently hiring a part-time, contract Virtual Administrative Assistant to assist with processing referrals and setting up Group Medical Visits, as well as digital as other daily administrative operations of the Society.

Mind Space Skills for Wellbeing (formerly known as the CBT Skills Groups Society) is offering group medical visits to support the mental wellness of adult patients (17.5-75 years old) who are struggling with symptoms of depression, anxiety, executive functioning, insomnia, and parent-child relationships.

Mind Space administrates group medical visits for trained physicians who provide evidence-based content and practical tools for patients to self-manage their mental health conditions.

Responsibilities:

  • Review patient referrals for relevant/missing information and follow up as required.
  • Create and update records in Access (being used in place of an EMR) ensuring accuracy and validity of information.
  • Supporting physicians with Zoom Orientation. These orientations happen during a 7 day work period. You may be required to assist out of normal office hours, including weekends.
  • Prepare and organize group documents and materials for Facilitators. Receive and review group documents and materials from Facilitators for completeness.
  • Sort and forward incoming faxes as dictated by the policies and procedures
  • Corresponding via email or telephone, internally and externally, with physicians regarding patient referrals.
  • Accurately and efficiently organize existing and new files for future retrieval
  • Follow policies and procedures to safeguard confidentiality at all times.

Requirements:

  • The ideal candidate is comfortable working independently, has home-office work experience, self-motivated, and is able to quickly switch tasks dependent on changing program priorities
  • Medical office experience an asset
  • Research or stats education or experience an asset
  • Good knowledge of MS Office (Word, Excel, & Access) and typical front office equipment such as scanners, printers, etc.
  • Good command of English both oral and written
  • Dependable with a respect to confidentiality and policies
  • Excellent organizational and time management skills
  • Great attention to detail

Pay: From $24.00 per hour

Expected hours: 20.0 per week
