Administrative Assistant in Health Care

Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our healthcare facility. The ideal candidate will play a vital role in managing administrative tasks, coordinating communication, and ensuring smooth operations within the medical office environment. This position requires excellent communication skills, proficiency with various healthcare software systems, and the ability to handle multiple responsibilities efficiently. Prior experience in dental or medical offices is a plus.

Responsibilities

  • Manage front desk operations, including greeting patients and visitors in a professional manner
  • Handle multi-line phone systems, scheduling appointments, and responding to patient inquiries
  • Maintain electronic medical records using healthcare software and databases
  • Perform data entry, filing, and clerical processing to ensure accurate record keeping
  • Assist with billing, coding, and insurance documentation processes
  • Support medical staff with administrative tasks such as preparing reports and presentations using Microsoft Word, PowerPoint, Excel, and Outlook
  • Coordinate with other departments for system design improvements and continuous process enhancements
  • Manage patient information securely while adhering to confidentiality protocols
  • Facilitate communication between patients and healthcare providers through effective organizational skills
  • Support project management initiatives related to office workflows and system updates

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with electronic medical records (EMR) systems a bonus
  • Strong knowledge of medical terminology and healthcare procedures
  • Excellent communication skills in English
  • Demonstrated clerical experience within a medical or dental office setting
  • Ability to operate computer hardware and perform data collection, analysis, and management tasks
  • Skilled in time management, organization, and multitasking within a fast-paced environment
  • Familiarity with hospital or healthcare office experience is advantageous
  • Capable of handling customer service interactions professionally at the front desk
