Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This vital role ensures smooth administrative workflows, maintains efficient communication channels, and fosters a welcoming atmosphere for staff, clients, and visitors alike. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating an effective office setting that supports our team’s success. Duties

  • Oversee front desk operations, including greeting visitors and managing multi-line phone systems with professionalism and courtesy
  • Handle all clerical tasks such as data entry, filing, proofreading, and maintaining accurate records using Microsoft Office
  • Manage appointment scheduling, calendar coordination, and ensure timely communication across departments
  • Maintain office supplies inventory, place orders as needed, and ensure the workspace remains organized and functional
  • Support bookkeeping activities to assist with invoicing, billing, and expense tracking
  • Provide exceptional customer support by addressing inquiries promptly and professionally via phone or email
  • Assist with dental office procedures when applicable, including patient check-in/out and insurance documentation
  • Ensure compliance with office policies by maintaining confidentiality and practicing excellent phone etiquette

Qualifications

  • Cleardent and MaxAssist (RecallMax) experience is a must
  • Proven experience in office management or administrative roles with strong clerical skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and basic computer skills
  • Excellent organizational skills with keen attention to detail in data entry and proofreading tasks
  • Strong customer service orientation with professional phone etiquette and interpersonal skills
  • Ability to handle multi-line phone systems efficiently and manage front desk responsibilities effectively
  • Previous experience in dental office settings is a must, including familiarity with front desk procedures and dental office protocols
  • Demonstrated ability to prioritize tasks, manage time effectively, and adapt to changing needs within a busy environment
