Overview

We are seeking a dynamic and highly organized Manager of Medical Offices, across 3 sites to lead and oversee the daily operations of our healthcare facility’s administrative and clinical functions. This role is essential in ensuring a smooth, efficient, and patient-centered environment by managing staff, coordinating medical and administrative processes, and maintaining compliance with healthcare standards. The ideal candidate will bring a proactive approach, exceptional leadership skills, and a passion for delivering outstanding healthcare support.

Minimum of 2-3 years of experience is essential as a medical office manager

Duties

  • Supervise and coordinate the activities of medical office staff
  • Oversee patient scheduling, workflow, registration and check-in procedures to ensure a seamless patient experience
  • Manage electronic medical records systems (EMRs), ensuring accuracy, confidentiality, and compliance with HIPAA regulations
  • Collaborate with medical professionals to facilitate smooth clinic operations and support clinical workflows
  • Monitor and control office budgets, supplies, and equipment to optimize operational efficiency
  • Implement human resources policies including hiring, training, performance evaluations, and staff development
  • Ensure adherence to medical terminology standards and hospital or clinic protocols for patient care documentation
  • Maintain compliance with healthcare regulations and accreditation standards while fostering a positive work environment
  • Ability to bill and manage billings and corrections - deep understanding of OHIP billing codes
  • Support admin staff in the day to day running of the offices

Skills

  • Extensive experience with medical office management systems such as PS suite, ensuring accurate and secure documentation
  • Strong knowledge of medical terminology
  • Proven supervising experience in healthcare settings with the ability to lead diverse teams effectively
  • Familiarity with budgeting processes, Inventory control, financial management and resource allocation within a healthcare context
  • Manage all OHIP, tracking third party Billings and basic payroll preparation
  • Experience working in medical offices
  • Excellent communication skills to liaise effectively with staff, patients, vendors, and external agencies
  • Ability to adapt quickly to evolving healthcare regulations and technological advancements
  • Nursing background will be an advantage
  • Administrative background is essential
  • Familiar with managing referrals and billings for specialists
