About the Role

True North Health is looking for a highly motivated Clerical Assistant/ Receptionist to join our team.

As the first point of contact for patients, you will play a vital role in creating a welcoming atmosphere while ensuring the smooth flow of daily operations. This position requires strong communication skills, excellent organizational abilities, and a genuine passion for patient care.

Key Responsibilities

  • Patient Interaction & Scheduling
  • Greet patients warmly upon arrival and provide a positive first impression of the clinic.
  • Manage phone calls, emails, and inquiries in a courteous and efficient manner.
  • Schedule, confirm, and reschedule appointments using clinic scheduling software.
  • Collect and verify patient information, ensuring accuracy of records.
  • Administrative Support
  • Handle patient check-in and check-out procedures.
  • Process payments, insurance information, and billing inquiries.
  • Maintain organized files and digital records.
  • Support the optometrists and clinical staff with administrative needs.
  • Clinic Coordination
  • Keep the reception area tidy, organized, and welcoming.
  • Assist in coordinating patient flow to ensure minimal wait times.
  • Manage inventory of front-desk supplies.
  • Communicate effectively with team members to support clinic efficiency.

Qualifications

  • Previous experience as a receptionist, front desk associate, or in customer service (preferably in healthcare or optometry).
  • Strong interpersonal and communication skills, both verbal and written.
  • Proficiency with scheduling software, EMR systems, and basic office tools (Google Sheet).
  • Ability to multitask, stay organized, and work in a fast-paced environment.
  • Professional demeanor with a patient-first mindset.
