Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our team in a variable-paced environment. The ideal candidate will possess strong administrative skills and be proficient in various office tasks, ensuring smooth operations within our organization. This role is essential for maintaining effective communication, managing schedules, and providing exceptional support to our staff and clients. This individual must be available for early and later working hours, we have some early start days and some later (8-8:30pm) finishes. We are needing approximately 28-35 hours

Duties

  • Perform data entry tasks accurately and efficiently to maintain up-to-date records.
  • Manage front desk operations, including greeting visitors and answering phone calls and emails with professionalism and courtesy.
  • Assist with scheduling appointments and maintaining calendars for team members.
  • Handle administrative tasks such as filing documents, proofreading materials, and preparing reports, including WSIB and MVA.
  • Supporting financials of the company by collecting and insurance billing for services rendered for all team members.
  • Provide assistance in a chiropractic and health care setting, ensuring compliance with relevant regulations and protocols.
  • Demonstrate excellent phone etiquette while managing inquiries from clients and stakeholders.
  • Maintaining, selling and ordering of inventory carried within the clinic.

Skills

  • Strong data entry skills with attention to detail to ensure accuracy in all documentation.
  • Experience in a medical office, a dental receptionist or other health care providers is preferred but not mandatory.
  • Excellent proofreading abilities to ensure high-quality written communication.
  • Strong organizational skills to manage multiple tasks effectively and prioritize workload.
  • Familiarity with front desk operations, including managing visitor interactions and inquiries.
  • Exceptional phone etiquette to foster positive relationships with clients and team members.
  • Ability to work independently as well as collaboratively within a team environment.
  • Must be within a 30 minute drive, all other candidates will not be considered.
