The Opportunity

As a Patient Care Coordinator, you'll be the first impression of Intimate Health.

You'll play a critical role in supporting both our Family Practice and Private Clinic, ensuring patients receive exceptional care from their very first phone call through every stage of their visit.

This role is ideal for someone who enjoys balancing patient care, clinical administration, scheduling, and problem-solving while working alongside a collaborative medical team.

What You'll Be Responsible For

Delivering an Exceptional Patient Experience

  • Welcome patients with warmth and professionalism.
  • Create a positive experience from check-in through departure.
  • Answer incoming calls with empathy, professionalism, and confidence.
  • Handle sensitive conversations with discretion and compassion.

Scheduling & Patient Coordination

  • Manage complex physician schedules across multiple clinics.
  • Triage incoming patient calls and prioritize urgent care needs.
  • Coordinate appointments while ensuring optimal physician utilization.

Clinical Administration

  • Prepare and process laboratory, imaging, and specialist requisitions.
  • Coordinate referrals and follow-up documentation.
  • Maintain accurate patient records using electronic medical records.
  • Access and manage patient information through Alberta Netcare.

Clinic Operations

  • Prepare examination rooms.
  • Maintain clinic inventory and medical supplies.
  • Process private clinic payments.
  • Manage incoming/outgoing correspondence, faxes, and patient documentation.
  • Support physicians with clinical administrative tasks to keep the clinic operating efficiently.

What We're Looking For

We're looking for someone who brings both experience and exceptional interpersonal skills.

You'll likely have:

  • Minimum 2 years' experience working as a Medical Office Assistant in a busy medical clinic
  • Graduation from an accredited Medical Office Assistant (MOA) program or equivalent experience
  • Experience using Alberta Netcare (required)
  • Strong experience preparing and managing medical requisitions and referrals
  • Excellent telephone communication and patient triage skills
  • Outstanding written and verbal communication
  • Exceptional organizational and multitasking abilities
  • High level of professionalism, discretion, and attention to detail
  • Experience with Ava EMR and Jane App is considered a strong asset.
