Clinic Manager – Toronto

StabilityLAB | Full-Time, Permanent | Toronto, ON

About the Role

StabilityLAB is opening a new clinic in Toronto and looking for a Clinic Manager to launch it and run it long-term. You'll start by coordinating the final stages of our renovation, setting up the space, and hiring our Toronto team — then step into managing the clinic day-to-day once we open.

What You'll Do

Getting us open:

  • Coordinate with our contractors (already engaged) to see the renovation through to completion
  • Set up furniture, equipment, and clinic software ahead of launch
  • Hire and onboard our clinical team (Physiotherapist, OT, or Chiropractor) and support staff

Running the clinic:

  • Build and manage the daily/weekly schedule for clinicians and techs in Jane App, including bookings, cancellations, and waitlists
  • Oversee billing and reconcile payments, including private insurance, Ontario auto insurance (SABS/FSRA), and WSIB claims
  • Coordinate treatment authorizations and progress/discharge reports with insurance adjusters and case workers, within required timelines
  • Keep the clinic compliant with privacy and insurer requirements (PHIPA, FSRA/SABS, WSIB), and stay current on regulatory changes
  • Administer clinic software (Jane App, intake/consent forms, online booking) and troubleshoot day-to-day issues
  • Monitor and order clinic supplies, and manage vendor relationships
  • Run front-desk operations: greet patients, manage phones/email, handle payments, and adjust same-day scheduling
  • Create and maintain patient-facing materials (handouts, welcome communications, templates)
  • Track weekly clinic stats (visit volume, revenue, no-shows, utilization) and report to leadership
  • Support local marketing and manage the clinic's online reputation (reviews, social content)
  • Develop and maintain SOPs, and train staff as processes evolve

What We're Looking For

  • Experience managing a clinic, healthcare facility, or similar service business
  • Experience in a leadership role, managing or supervising a team
  • Comfortable hiring and managing a small team
  • Familiarity with clinic scheduling/practice management software (e.g., Jane App)
  • Organized, self-directed, and comfortable wearing many hats
  • Strong communicator who flags issues early and follows through with contractors and vendors
  • Detail-oriented, especially with billing and insurance accuracy
  • Calm and adaptable when things don't go as planned
  • Trustworthy with sensitive patient information
  • Experience in a physiotherapy clinic setting is an asset
  • Bonus: experience with Ontario auto insurance (SABS) or WSIB claims

Pay: $60,000.00-$70,000.00 per year
