Medical Office Administrator – Job Description

We are actively recruiting an enthusiastic, patient-focused Part-Time Medical Office Administrator for our location in Niagara, Ontario.

Medical Office Administrator Job Responsibilities:

· Serves patients by greeting and helping them, scheduling appointments, and maintaining records and accounts.

· Answering the telephone and responding to messages, providing relevant information based on patient questions, placing reminder calls and scheduling appropriate appointments

· Thorough knowledge of services, procedures and products offered as well as pre and post treatment instructions to accurately answer patient questions and concerns

· Optimizes patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.

· Keeps patient appointments on schedule by notifying provider of patient’s arrival, reviewing service delivery compared to schedule, and reminding providers of service delays.

· Comforts patients by anticipating patients’ anxieties, answering patients’ questions, and maintaining the reception area.

· Ensures availability of treatment information by filing and retrieving patient records.

· Maintains patient accounts by obtaining, recording, and updating personal and financial information.

· Obtains revenue by recording and updating financial information, recording and collecting patient charges (when required).

· Maintains business office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies, and scheduling equipment service and repairs.

· Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information.

· Maintains operations by following policies and procedures, reporting needed changes.

· Contributes to team effort by accomplishing related results as needed.

· Works together with Physicians and Technologists to keep schedule up to date and organized

· Triages incoming referrals appropriately.

· Sends and tracks outgoing referrals appropriately.

· EMR support and organization such as generating new forms, inputting new requisitions accurately and ready for use by clinic staff.

· Submits appropriate reports to Directors for tracking of patient volumes and appointment availability.

· Works with administration team and ensures overall organization and efficiency of front desk activities.

Qualifications/ Skills:

· 2 years of administrative experience in a healthcare setting and/or beauty/wellness industry

· Exceptional customer service skills

· Experience with point-of-sale transactions

· Open communication and strong teamwork mentality

· Understanding of PHIPA and importance of patient confidentiality

· Experience working with Microsoft Office 365, Accuro/EMR is desired
