Full job description

Island Eyecare is seeking a professional, experienced, and accountable Front Desk Optometric Assistant to join our award-winning clinic. This is more than a reception role — it’s a vital position that supports both patient experience and clinic performance across optometry and dry eye services.

Key Responsibilities

  • Greet patients and manage check-in/check-out procedures with professionalism and warmth
  • Answer phone and email inquiries; coordinate appointments and follow-ups efficiently
  • Manage patient information and appointment flow using Optosys EMR
  • Perform pretesting, including auto-refractor, IOP, OCT, and retinal imaging
  • Coordinate with optometrists and technicians to maintain a smooth clinical schedule
  • Provide basic patient education (e.g., dry eye treatment options, general service info)
  • Occasionally support with contact lens training and optical dispensing (as backup)
  • Ensure the front desk area reflects the polished, high-end standard of our brand
  • Handle insurance claims, billing support, and internal communications effectively
  • Collaborate with the Helix MedSpa team to coordinate service flow and scheduling as needed

Skills & Qualifications – What We’re Looking For

We are looking for a seasoned, mature team player who understands the flow of a medical office and is confident in delivering top-tier service in a clinical setting.

Required Skills & Experience

  • Experience in an optometry or optical clinic (front desk, clinical assistant, or dispensing)
  • Familiarity with optometric equipment and procedures, including:
  • Auto-refractor
  • Intraocular pressure measurement (IOP)
  • OCT and retinal imaging
  • Proficiency in clinic scheduling, patient coordination, and EMR systems (Optosys preferred)
  • Excellent customer service and communication skills
  • Strong time management and the ability to stay composed in a fast-paced environment
  • Attention to detail in data entry, documentation, and scheduling accuracy
  • Professional, respectful, and committed to building strong patient relationships
  • Open to feedback and growth, with a team-first mindset

Preferred (Nice-to-Have)

  • Experience with contact lens education or training
  • Knowledge of optical dispensing, frame adjustments, and lens options
  • Familiarity with dry eye services, IPL, and patient education protocols
  • Experience working with pediatric patients
  • Understanding of insurance billing and claim processing

Training & Development

We will provide in-depth training on our dry eye protocols and medical aesthetics services through Helix MedSpa. You will be cross-trained to support both sides of the business and help coordinate patient flow across departments — ensuring a seamless experience for every patient.
