Full job description

Working in collaboration with the Administrative Manager, Scheduling Team and Operations manager, this position requires coordinating complex clinic schedules and be the resource for non-clinical information, scheduling and answering phone calls.

EDUCATION, TRAINING AND EXPERIENCE:

· Post-secondary education in office administration (preferably medical) or a combination of experience and relevant education.

· Scheduling experience in a busy clinic setting is an asset.

RESPONSIBILITIES:

· Schedule, coordinate and confirm referrals and appointments, using judgment to reschedule or book according to changing priorities, ensuring appointments are booked within provincial access targets.

· Coordinate and book diagnostic tests and follow-up appointments to best meet patient needs.

· Keep track of external referrals and follow up on reports.

· Ensure to register patients on patient database system and attach all required reports.

· Maintain confidentiality for all patient and staff personal and health information.

· Lead the proactive scheduling of clinics according to physician availability, referral volumes, etc.

EXPERIENCE

6 months-1 year of recent experience as a Medical Office Administrator preferred. Recent graduates are welcome to apply.

· Demonstrated ability to work responsibly in an interdisciplinary team environment.

· Demonstrated effective communication (written and verbal), organization and interpersonal skills.

· Demonstrated effective problem-solving skills, critical thinking, and the ability to prioritize in a fast-paced clinical environment.

· Demonstrated initiative and judgment appropriate for the position.

· Demonstrated computer skills including Microsoft Office

· Demonstrated ability to accept assigned or delegated functions.

· Demonstrated ability to remain focused, flexible, and prioritize tasks in a busy and high-stress environment.
