About the Role
What You’ll Do
- Monitor incoming referral queues across all channels (fax, electronic, portal) and accurately capture patient and clinical data into the electronic system.
- Respond to phone inquiries from patients, physicians, and MOAs regarding waitlist status, timelines, and referral requirements.
- Identify and resolve referral deficiencies by proactively following up with referring offices to secure missing clinical information or results.
- Participate in regular self and peer audits of referral data and workflows to verify accuracy, maintain high service quality, and ensure system integrity.
- Communicate effectively in English both verbally and in writing, ensuring clarity and compassion in interactions.
- Independently organize and prioritize your workload to manage multiple referrals and urgent tasks.
- Investigate missing clinical information and troubleshoot referral pathways to prevent delays in care.
- Collaborate with peers and referring practitioners to maintain positive working relationships and ensure deadlines are met.
What You’ll bring to the Team
- Completion of Grade 12 or High School Diploma.
- Superior command of the English language, both written and verbal, to ensure clarity and accuracy in professional interactions.
- Minimum typing speed of 45+ words per minute combined with excellent data entry skills and attention to detail.
- Certificate in Office Administration, Medical Office Assistant, or equivalent field (preferred).
- Previous administrative experience, ideally in medical or clinical environments (preferred).
- Strong understanding of medical terminology; completion of a recognized Medical Terminology certificate or course is highly desirable.
- Equivalent combinations of education, training, and experience will also be considered.
