Reports to: TMS Operations Manager

Position Summary

NuVista Mental Health is seeking a compassionate, organized, and adaptable In-Person Program Coordinator / Personal Care Worker (PCW) to support the day-to-day operations of our TMS clinics.

This role serves as the primary in-clinic administrative support while also assisting with non-clinical patient care and clinic operations. Working closely with clinical and administrative teams, the successful candidate will help ensure a positive patient experience, efficient clinic flow, and seamless daily operations. As our programs continue to grow, this position will evolve to meet operational needs and support additional services where appropriate.


Key Responsibilities

  • Welcome and support clients throughout their clinic visits.
  • Assist with appointment coordination, scheduling, and administrative tasks.
  • Support clinicians and operational staff with day-to-day clinic activities.
  • Maintain accurate documentation and assist with electronic medical records.
  • Prepare and organize clinic spaces, supplies, and materials.
  • Provide non-clinical patient support and ensure a welcoming clinic environment.
  • Communicate effectively with clients, providers, and internal teams.
  • Assist with operational improvements and special projects as assigned.
  • Cross-train to provide support across programs and clinic locations as required.
  • Perform other related duties that support the efficient operation of the clinic.


Qualifications

Required

  • Personal Care Worker (PCW), Continuing Care Assistant (CCA), or equivalent healthcare support certification.
  • High school diploma or equivalent.
  • Excellent organizational, communication, and interpersonal skills.
  • Strong computer skills and attention to detail.
  • Ability to work independently while collaborating within a multidisciplinary team.

Preferred

  • Experience in a healthcare, medical office, or mental health setting.
  • Experience with electronic medical records (EMRs).
  • CPR/First Aid certification.
