Medical Administrative & Clinical Assistant

York Vascular Artery & Vein Clinic – Newmarket, Ontario

Job Overview

York Vascular Artery & Vein Clinic is seeking a reliable, organized and personable Medical Administrative & Clinical Assistant to join our team.

This is a varied position combining medical office administration with hands-on, patient-facing clinic support. We are looking for someone who is flexible, takes initiative, enjoys working with patients, and is willing to assist with different aspects of the clinic depending on the needs of the day.

The successful candidate will work closely with the physician, clinic manager and other members of the healthcare team to help provide an efficient, organized and welcoming experience for our patients.

We are particularly interested in someone who is responsible, punctual, professional, compassionate and genuinely takes pride in their work.

Responsibilities

  • Welcome patients and assist with registration and check-in.
  • Schedule and coordinate appointments and manage patient communications by telephone, email and other clinic systems.
  • Manage referrals, medical records, correspondence and other medical office administration.
  • Prepare patients for physician assessments and obtain a brief relevant medical history.
  • Assist with efficient patient flow throughout the clinic.
  • Prepare examination and procedure rooms before patient visits and reset and organize rooms afterward.
  • Assist the physician and clinical team with appropriate non-nursing aspects of patient care.
  • Provide patients with physician-approved information, preparation instructions and follow-up information.
  • Maintain accurate and confidential patient information and documentation.
  • Help maintain an organized, clean and professional clinic environment.
  • Assist with general administrative projects and day-to-day clinic support.
  • Assist with patient communications, educational materials, website and social media updates.
  • Contribute ideas and suggestions for improving clinic organization, efficiency and the overall patient experience.
  • Perform other administrative and clinic-support duties as required.

Qualifications

  • Previous experience in a medical office, specialist clinic or healthcare environment is an asset.
  • Familiarity with medical terminology and electronic medical records is preferred.
  • Excellent interpersonal and communication skills.
  • Professional, friendly and compassionate when interacting with patients.
  • Strong organizational skills and attention to detail.
  • Reliable, punctual and responsible.
  • Able to manage multiple tasks and adapt to changing priorities.
  • Comfortable using computers and learning new technology and software.
  • Experience or interest in social media, digital communications or website content is an asset.
  • Able to work independently while also functioning effectively as part of a team.
  • Certification or formal training in medical office administration or medical assisting is an asset but is not required.

We are looking for someone who takes initiative, notices what needs to be done and follows through. The right candidate will be adaptable, dependable and interested in contributing to a positive experience for both patients and the clinic team.
