Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency in various office software. This role involves managing administrative tasks, providing exceptional customer service, and ensuring the smooth functioning of daily office activities. Experience with medical or dental offices is a plus, but not required. The position offers an opportunity to work in a dynamic environment where organizational skills and professionalism are highly valued.

Duties

  • Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professional phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
  • Handle filing systems, document proofreading, and general clerical tasks to support office efficiency
  • Assist with bookkeeping and basic financial record keeping as needed
  • Provide customer support via phone and in person, addressing inquiries and resolving issues promptly
  • Support medical or dental office operations by scheduling appointments, managing patient or client files, and coordinating with healthcare providers if applicable
  • Coordinate appointments and meetings, ensuring all logistics are handled efficiently
  • Support administrative projects and perform other duties as assigned to ensure smooth office workflow

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer skills with the ability to learn new software quickly
  • Experience with QuickBooks or bookkeeping software is desirable
  • Excellent organizational skills with attention to detail in data entry, proofreading, and file management
  • Prior clerical or administrative experience, especially in medical or dental offices preferred
  • Exceptional customer service skills with professional phone etiquette and the ability to handle multi-line phone systems effectively
  • Strong typing skills for efficient data entry and document preparation
  • Ability to manage multiple tasks simultaneously while maintaining accuracy and professionalism
  • Knowledge of front desk operations and customer support best practices
  • Ability to work independently with minimal supervision while contributing positively to team efforts
