The Vibe

We are Align Custom Fit, and we move quickly and with intention rooted in our core values of love, excellence. We are a team of kind, ambitious problem-solvers focused from diverse background from medical to tech, who together achieve on our core mission of helping people move better, aligned through foot health.

The Mission

This role requires a person who fits with our culture and core values, to be the administrative engine behind daily operations, ensuring that systems, logistics, and back-of-house data entries are as polished and precise as our patient experiences.

The Role in 30 Seconds

You love order, clean spreadsheets, and checking repetitive tasks off a checklist with absolute precision. You focus on the how—taking the clear directions, selections, and templates and inputting them perfectly into our software. You are the typing engine of our operations, managing the daily data entry and clinical digital work that keeps everything about our flagships organized.

The Perks

  • The Lifestyle: Hybrid, with a blend of structured on-site flagship clinic coordination in our Mississauga and/or Toronto clinics and work-from-home flexibility. Local candidates are preferred. Free gratis from Align Custom Fit and a front-row seat to a high-growth brand and a close-knit, supportive community.
  • The Access: You will work directly with the Co-Founders and support our Regional Flagships Manager. You get real-time exposure to scaling a business. This is a role for a detail-obsessed professional who stays completely on top of daily tasks so the leadership team can stay focused on clinical strategy.
  • The Benefits: Comprehensive health and wellness coverage + paid time off + profit sharing program eligibility.
  • The Salary: $55,000 - 60,000/year to start.
  • The Growth: Clear milestones to grow alongside our platform support engine as the company scales.

Are You Align's Person?

  • Detail Obsessed: You believe excellence is found in the details. Errors in shoe sizes, product codes, or calendar hours bother you instinctively. You are an excellent communicator and tie off every communication with a tidy bow.
  • No Ego, All Impact: You genuinely enjoy traditional administrative execution and data entry. You are as comfortable processing paperwork as you are handling physical inventory counts alongside the clinic team. You're as much of a joy to work with as your team mates who are looking forward to working with you!
  • Reliable and Self-Governing: You do not need hand-holding for routine tasks. You manage your daily administrative checklist autonomously and keep systems moving on time, keeping leadership on their toes, and not the other way around.
  • Tech-Fluent: You easily learn your way around software. You speak the language of booking platforms, Clinic Master, Slack, G-Suite, and especially Excel sheets.
  • Background: 1 to 3 years of experience in an administrative coordinator, data entry clerk, medical receptionist, or assistant role.

What You'll Drive & Key Responsibilities

  • Schedule Entry: Take the client experience and clinician team schedules finalized by management and manually input them into the schedule builder platforms. Update changes as needed for time-off requests, shift swaps, and template adjustments.
  • Inventory Tracking: Input shoe and compression inventory details decided during our purchasing buys. Enter the digital items, size runs, and product codes into Clinic Master, then generate and email purchase orders to our suppliers.
  • SOP Formatting: Type up finalized standard operating procedures and organize them clearly inside our central clinic system database.
  • General Clerical Support: Help clear out daily administrative tasks for our regional manager and lead functional team so our specialists can stay focused strictly on the patient experiences.

Core Values We Live By

To be successful in this seat, you must naturally align with our core values:

  • Love: You model service as a genuine gift and create an atmosphere of clinical empathy.
  • Pursuit of Excellence: You possess a meticulous attention to detail and refuse to cut corners on presentation, experience or data accuracy.
  • Courage to Innovate: You challenge the status quo and proactively suggest creative ways to fill scheduling gaps and eliminate operational friction.
  • In it Together: You thrive as the primary operating link between our clinical team and the client.
  • Legacy Path: You are focused on building sustainable systems and relationships that foster multi-decade client loyalty.
