Job Overview
We are seeking a dedicated and organized Medical Office Assistant to join our team of a Family Physician and Registered Nurse. The ideal candidate will play a vital role in ensuring the smooth operation of our medical office, providing essential support to both patients and the healthcare professionals. This position requires strong administrative skills, familiarity with medical terminology, and experience in managing electronic medical records.

Duties

  • Greet patients and visitors at the front desk, ensuring a welcoming environment.
  • Schedule appointments and manage the calendar for healthcare providers.
  • Maintain patient records by updating information in electronic medical records systems such as HealthQuest and MedAccess.
  • Assist with insurance verification and processing patient information.
  • Handle incoming calls, emails, and correspondence in a professional manner.
  • Prepare and organize patient charts for upcoming appointments.
  • Manage administrative tasks such as filing, faxing, and data entry.
  • Collaborate with other office staff to ensure efficient workflow.

Skills

  • Proficiency in using electronic medical records systems (experience with HealthQuest and MedAccess is mandatory).
  • Strong understanding of medical terminology and office procedures.
  • Excellent communication skills, both verbal and written.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Experience working in a medical office setting is highly desirable. Reprocessing instruments (cleaning and autoclaving) would be a strong asset.
  • Strong organizational skills with attention to detail.
  • Familiarity with administrative tasks such as scheduling and patient management, both on the telephone and in person.
